Job Summary
The HACCP and CTPAT/PIP Specialist is responsible for developing, implementing, and maintaining food safety (HACCP) and supply chain security (CTPAT/PIP) programs to ensure compliance with regulatory requirements and industry standards. This role includes conducting audits and working closely with terminals and operations to integrate safety protocols. As a leader in safety and supply chain security, the HACCP and CTPAT/PIP Specialist is expected to align with TransX Core Values, including Teamwork, Safety, Innovation, Accountability, Integrity, and Respect.
Key Responsibilities
Food Safety and Security Compliance (HACCP)
- Understand the requirements of HACCP and remain up to date on the latest requirements.
- Implement and maintain HACCP certification across terminals.
- Create new policies and procedures to remain in compliance.
- Ensure all required policies and procedures are in place for compliance and that they are being followed in each terminal.
- Ensure we have the required course content to instruct drivers and staff.
- Conduct audits to identify risks and ensure compliance with food safety standards.
- Develop action plans based on audit findings and ensure continuous compliance.
- Prepare terminals for (re-)certification audits.
Supply Chain Security (CTPAT/PIP)
- Understand the requirements of CTPAT and PIP and remain up to date on the latest requirements.
- Maintain CTPAT (Customs-Trade Partnership Against Terrorism) and PIP (Partners in Protection) programs.
- Conduct risk assessments, develop security policies, and manage compliance with regulatory standards.
- Ensure all required policies and procedures are in place for compliance and that they are being followed in each terminal.
- Ensure we have the required course content to instruct drivers and staff.
- Create new policies and procedures to remain in compliance.
- Update the CTPAT and PIP portals when required.
- Investigate incidents of non-compliance with CTPAT/PIP policies, procedures, and security breaches, and recommend corrective actions.
- Conduct reviews and audits of current compliance with the programs.
- Prepare terminals for validation audits.
Health & Safety Management System (OHSMS) and Internal Auditing
- Maintain a strong understanding of Canadian Occupational Health and Safety legislation and the latest requirements.
- Maintain expertise in and certification status as an internal auditor for RPM and COR.
- Work with the Health and Safety Manager, the Health and Safety Specialist, and the Health and Safety Committees on maintaining and improving an effective OHSMS.
Continuous Improvement and Special Projects
- Regularly perform special projects and assignments as needed.
- Conduct research and evaluate opportunities for continuous improvement.
- Participate in procurement projects for software solutions to improve OHS, CTPAT/PIP, HACCP procedures, auditing, and training effectiveness.
- Work with key stakeholders and service providers on the successful and effective implementation of new software solutions.
HACCP & CTPAT/PIP Compliance Support
- Assist and educate terminal management and staff on HACCP and CTPAT/PIP standards.
- Investigate incidences of HACCP and CTPAT/PIP non-compliance and recommend corrective actions to the terminal management team.
Training, Review, Development, and Reporting
- Ensure employee training meets HACCP, CTPAT/PIP, and OHS standards.
- Develop continuous improvement plans to enhance safety and security practices.
- Provide regular reporting on HACCP, CTPAT/PIP, and OHS training completion.
Key Performance Indicators (KPIs)
- HACCP Internal and External Audit Completion Rates.
- CTPAT/PIP Revalidation.
- TRIF / OHS audits completion and compliance.
- Percentage of External Audits Scoring in the "Meets Expectations" Range.
Skills and Qualifications
- Strong expertise in HACCP, CTPAT, and PIP standards.
- Ability to conduct comprehensive audits.
- Ability to deal with difficult people in a constructive and respectful manner.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Ability to provide assistance to staff and management regarding safety and security.
- Ability to provide guidance and discipline to drivers.
- Ability to manage positive and constructive business relationships to best benefit the organization.
- Strong knowledge of Canadian Occupational Health and Safety legislation.
- Excellent leadership, communication, and training skills.
- Commitment to quality work, clear and accessible writing, high initiative, attention to detail, and mature judgment.
- Proficiency in Microsoft Office, Google G-Suite, databases, fleet management, and learning management software (LMS).
- Ability to identify hazards, assess risks, and implement effective control measures.
Preferred Education and Experience
- Certification or Degree in Occupational Health and Safety, or a related field.
- Minimum of 5 years of experience in food safety or supply chain security.
- Certification in HACCP or CTPAT/PIP is highly desirable.
- Internal Occupational Health & Safety auditor experience is preferred.
- Experience in incident investigation.
- Experience in equipment and facility inspections.
- Proven experience conducting comprehensive internal audits.
