The Programs & Services Assistant will support the team in the provision of student lifecycle programs, services and communications for skilled trades apprenticeship students at Mohawk’s Stoney Creek and Fennell campuses. The incumbent will support our apprenticeship communication and engagement strategy through data entry, one-to-one student support, and in-person programming. The incumbent will work with the Student Life and Apprenticeship Hub team to champion a positive, inclusive culture of engagement in support of student success and engagement.
This is an in-person position primarily located at the Stoney Creek Campus. Regular work hours are Monday-Thursday, 8:30 am-3:30 pm. During the first week of Apprenticeship start days and Orientation periods, hours may be adjusted to 7 am start time. Some evenings will be required during peak periods.
What you’ll be doing:
Apprenticeship Communication Support
- Main contact for incoming and current apprenticeship student inquiries.
- Initiates and facilitates communications for incoming apprenticeship classes.
- Creates complex communication templates using Envoke.
- Supports apprenticeship student communication strategy using Envoke to prepare complex, targeted email communications, including data entry and some design work.
- Establishes and maintains data tracking and record-keeping systems to support and inform the evolution of the apprenticeship student communication strategy in alignment with trends.
- Updates and maintains webpages as needed.
- Ensures that communications meets AODA and Mohawk branding standards.
Student Success & Engagement
- Supports event logistics including liaising with facilities, food & beverage, and rental companies to facilitate event set up and tear down.
- Assists with student events such as Get Ready for Training Night, Orientation, Student Appreciation Days, etc.
- Supports The Gathering Place, Stoney Creek by providing coverage for the space and supporting the guidance of student staff and volunteers.
- Includes greeting visitors and assisting with general inquiries, supporting the team’s schedule of student events.
- Includes providing functional guidance to student employees and supporting their ongoing training and development.
General Administrative Duties
- Compiles statistical and qualitative data and feedback to inform regular reporting on apprenticeship student success; includes making recommendations on changes to communications plans/strategies/drafts and supporting programming.
- Updates and maintains apprenticeship student resource course in MyCanvas; tracks data and analytics to inform the vision for this course.
Other duties as assigned.
What you’ll bring to the role:
- Minimum three-year diploma/certificate in Business, Office Administration, Human Services, Communications, Education or a related field.
- 3 years of work experience, preferably in an office, event planning, or post-secondary environment. Experience in post-secondary and student affairs is preferred.
- Ability to multi-task and set priorities in a fast-paced environment.
- Experience working independently and solving a wide range of problems.
- Proven ability to work under pressure and coordinate competing priorities.
- Strong organization, interpersonal and communication skills.
- Ability to work with a team to ensure cooperation from a wide variety of areas at the college.
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
