Overview

Metro Compactor Service is looking for an experienced Project Coordinator to join our team! This enthusiastic individual will work closely with multiple teams to facilitate the coordination of a variety of projects. We are looking for someone who is a self-manager with excellent organizational and time management skills, attention to detail, and the ability to adapt and pivot to changes. Effectively communicating updates with staff and customers respectfully and professionally.

**Location:**Project Coordinator will work from the office location.

**Work Hours:**Monday - Friday 8am – 4:30pm

Responsibilities:

  • Set up new projects in CRM system, prepare start-up documentation for client submission (signed purchase orders/contracts, WSIB, COI, health and safety documents, Schedule of values, progress draws, and other documentation as required).
  • Coordinating multiple active projects across varying timelines and scopes.
  • Support project delivery by actively managing schedules and working cross-functionally with site and production teams to meet key deadlines and/or identify potential challenges.
  • Work collaboratively with production to synchronize fabrication output with scheduled installations, ensuring timely delivery and site readiness.
  • Work closely with clients and internal teams to confirm site check verifications and ensure all customer responsibilities are communicated and completed, enabling a smooth and timely installation process.
  • Procure materials and schedule deliveries to meet project timelines.
  • Maintain accurate and up-to-date site documentation and project paperwork to ensure compliance.
  • Ensure all project schedules, calendars, and boards are consistently organized and updated to reflect current timelines and priorities.
  • Prepare, issue, and track purchase orders for subcontractors and material suppliers, ensuring timely procurement aligned with project needs.
  • Obtain site sign-offs and ensure all required documentation is submitted to the accounting team in alignment with customer billing requirements and scheduled invoicing dates.
  • Prepare work orders (SV’s) and schedule field technicians to align with fabrication, installation timelines, and project schedules, ensuring seamless site execution.
  • Serve as the primary point of contact for communication of project status to all stakeholders.
  • Maintain organized and up-to-date project documentation within designated project folders, ensuring accessibility and accuracy.
  • Maintain accurate CRM records for newly installed sites, including preventative maintenance and warranty details, in coordination with Sales and Service teams to ensure proactive service planning.
  • Prepare and submit comprehensive close-out documentation packages—including operations and maintenance manuals, as-built drawings, warranties, test certificates, publications, and commissioning reports—to clients, owners, and consultants at the end of the project.
  • Partner with the Accounting department to review project status and update monthly revenue forecasts, supporting financial planning and reporting accuracy.
  • Offer constructive feedback and suggestions when asked, supporting team decision-making and project success.
  • Bring a collaborative and upbeat attitude to daily interactions, contributing to a supportive and productive team environment.
  • Demonstrates strong active listening skills by attentively engaging with team members, clients, and stakeholders to fully understand their needs, concerns, and feedback. Responds thoughtfully and ensures clarity in communication, fostering trust and collaboration across all levels of the organization.
  • Maintain a receptive attitude toward feedback and use it as a tool for growth, while managing defensiveness and embracing learning opportunities.
  • Carry out other duties as assigned to meet evolving project and business needs.

Qualifications:

  • Proven experience in project coordination within a general contracting environment, supporting complex construction and fabrication projects.
  • Hands-on experience with commercial, industrial, and mid- to high-rise projects, demonstrating adaptability across diverse scopes and site conditions.
  • Track record of managing multiple projects with varying scopes and budgets.
  • Familiarity with stipulated price contracts, with an understanding of contract terms, deliverables, and compliance requirements.
  • Strong self-management and organizational skills, essential for adapting to the dynamic needs of production schedules and site conditions.
  • Excellent verbal and written communication skills, enabling effective collaboration with internal teams, clients, and subcontractors.
  • Self-motivated with strong interpersonal skills, capable of building positive relationships across departments and levels of the organization.
  • Proficient in Microsoft Office Suite, including Excel, Word, Outlook, and project tracking tools.
  • Knowledge of risk management and quality assurance practices, contributing to safe and compliant project execution.
  • Ability to read and interpret technical drawings and specifications, considered a strong asset for coordinating fabrication and installation activities.
