About the role

Virtus Client Advisory Services (CAS) is not your typical accounting group. Born from the desire to work more closely with entrepreneurs, non-profits, and specialized professionals, CAS becomes an extension of every organization we support and delivers outsourced accounting and advisory services through the latest in financial technology.
The PositionThe Operations Coordinator is a key role supporting both internal operations and client-facing processes. You’ll be the central hub that keeps workflows running smoothly, ensures follow-through on commitments, and manages the administrative and operational details that help our Controllers stay focused on client delivery.
What You’ll Do****Client-Focused Responsibilities

  • Attend prospective client meetings and assist with onboarding and setup.

  • Track and monitor weekly deliverables to ensure nothing slips through the cracks.

  • Maintain client coverage schedules to ensure service continuity during employee absences.

  • Review, report, and follow up on accounts receivable and support the billing process.

  • Coordinate client recognition activities and contribute to a positive client experience.

Internal Operations Responsibilities

  • Create and maintain templates, SOPs, and workflow tools.

  • Update and manage tracking dashboards and KPIs.

  • Serve as administrator for CAS software systems.

  • Coordinate onboarding logistics for new team members.

  • Participate in monthly marketing meetings and support team initiatives.

What You’ll Bring

  • 8+ years of experience in administrative, operational, or coordinator roles — ideally within an accounting, finance, or professional services environment.

  • Strong working knowledge of accounts receivable, payroll, and basic accounting principles.

  • Demonstrated experience with reporting processes and Excel-based tracking tools.

  • High proficiency with Microsoft Excel and cloud-based accounting software.

  • Exceptional organizational and time-management skills, with the ability to juggle multiple priorities.

  • Skilled at holding others accountable, constructively and ensuring consistent follow-through.

  • Sharp attention to detail, with strong written communication skills - especially in documenting processes and procedures.
