About the role
Overview We are seeking a motivated and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. This role is essential in supporting daily operations and ensuring a smooth workflow within the office environment. The Administrative Assistant will be responsible for a variety of tasks that contribute to the overall efficiency of our organization.
Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries with professionalism.
- Operate multi-line phone systems, ensuring effective communication both internally and externally.
- Provide exceptional customer service and support to clients and staff, addressing their needs promptly.
- Maintain organized filing systems for documents, ensuring easy access and retrieval of information.
- Perform data entry tasks accurately and efficiently, utilizing computer literacy skills.
- Assist in calendar management, scheduling appointments, and coordinating meetings as required.
- Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
- Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
- Support bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
- Collaborate with team members on various administrative projects to enhance office management efficiency.
Experience
- Previous experience in an administrative role is preferred, with a focus on clerical duties and office management.
- Familiarity with front desk operations and customer support is highly desirable.
- Bilingual candidates are encouraged to apply to better serve our diverse clientele.
- Strong typing skills and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) are essential.
- Experience with multi-line phone systems and excellent phone etiquette are required for effective communication.
- Knowledge of dental or medical receptionist duties is a plus but not mandatory.
- Proven organizational skills with the ability to manage time effectively in a fast-paced environment.
