The role: The Broker Channel Administrative Assistant provides centralized administrative support to the Broker Sales team, reporting to Director, Mobile Mortgage and Broker Sales this role is responsible for managing administrative tasks and coordination across teams.
The role supports efficient daily operations by ensuring documentation is organized, follow-ups are completed, and administrative processes run smoothly. This position enables BDMs to focus on broker relationship management by handling high-volume administrative and coordination activities.
Key Accountabilities
- Administrative, Process and Compliance Support (80%)
- Create and distribute rate sheets on behalf of the BDM
- Follow established third-party risk management, broker onboarding, KYB, documentation, and ongoing monitoring processes to ensure consistency and control effectiveness.
- Document onboarding and review evidence to support audit readiness, management oversight, and regulatory expectations for third-party arrangements.
- Escalate exceptions, incomplete documentation, expired licensing or E&O coverage, negative media, regulatory concerns, fraud indicators, or overdue reviews to the appropriate BDM, Director, Compliance, Legal, or Risk partners as required.
- Maintain accurate administrative records in CRM / internal systems
- Support documentation accuracy, evidence retention, compliance requirements, and audit readiness for broker agreements, onboarding files, annual reviews, exception tracking, and offboarding records.
- Maintain tracking and reporting for onboarding status, annual review completion, expired or missing requirements, open exceptions, escalation status, and unresolved risk items.
- Support periodic reviews of broker files and active broker lists to confirm records remain current, complete, and aligned to internal policy and OSFI B-10 third-party risk management expectations.
- Identify administrative inefficiencies and raise improvement opportunities
- Assist with system updates or process changes as needed
- Broker &Partner Administrative Support (5%)
- Respond to administrative inquiries from brokers related to documentation, onboarding status, ongoing review requirements, or established process expectations.
- Maintain and update broker information records
- Support coordination of communications between brokers and internal teams
- General Administrative Duties (15%)
- Ensuring accurate information is in broker website, updating as needed
- Coordinating sales team’s SharePoint site, ensuring up to date materials, shared learnings, and team notes are accessible to the sales team
- Support audit requests and data gathering
- Perform general administrative tasks as assigned

This posting is for a newly created position. Internal candidates are being considered.
Salary Range: $46,400.00 to $69,600.00 CAD
Compensation for this role is based on a combination of skills, experience, and internal equity. Candidates with stronger alignment to the role’s requirements may be placed higher within the range. Your recruiter will share more information about our total rewards package during the hiring process.
Office Location: Toronto Corporate Office with the ability to travel to our St. Catharines office as needed. This is a hybrid work opportunity.
