Position: We are currently looking to hire a Production & Service AR/Invoicing Technician to join our growing Calgary team. The person will be responsible for preparing and managing invoices for our production and service divisions (roofing), for our three branches (Calgary, Edmonton, and BC).
Tasks/ Responsibilities: Production Invoicing Understanding Invoicing Processes: Exploring the construction invoicing process, including how to prepare an invoice or pay application and best practices for billing. Contractual Compliance: Ensuring that the invoicing process aligns with the signed contract and adheres to all contractual requirements related to deadlines for progress invoice submission. Payment Structures: Being aware of different construction contract payment structures, such as progress billing, which pays contractors based on the percentage of work they have completed. Understanding and completion of monthly Holdback analysis to align with each project and balance to the holdback general ledger. Job Costing. Maintaining Customer Data: Update each PO within QuickBooks with information related to the contract – Subcontract number, date of contract. Ensure that all SOV’s received have been calculated and previous balances have been calculated correctly prior to progress invoicing. Understanding of WCB Clearance and preparation of Statutory Declarations.
Service Invoicing Work with Service Managers to complete servicing invoicing as soon as jobs are completed. Invoices to be accurately represented with pertinent information such as PO#’s. Recognizing which service invoicing needs to be completed as a production invoice.
Additional duties Uploading of all new Production Contracts and ensuring that QuickBooks is updated with the correct customer information. Ensuring that the AR is sorted by Customers in order that outstanding invoices are by Customers for correct recording of payments. Continuous monitoring of aged accounts receivable and ensuring customers are paying on a timely basis. Daily deposits using the TD Capture functionality. Recording of all EFT’s sent by United Roofing customers. Taking Visa/MC payments from customers as required. Accurate recording of receipts into QuickBooks. Weekly emails to owners with updated and accurate accounts receivable reporting. Assistance with audit, year-end reporting as required.

Necessary for Employment: 5 to 10 years of bookkeeping/accounting experience in construction. Strong Excel and Word skills. Attention to details. Proficiency in understanding ERP/Billing systems and experience with accounting controls and compliance standards.
