Office Assistant Trainee

The Town of Qualicum Beach is inviting applications for a temporary full-time Office Assistant Trainee position. This role is expected to be an 18-month term starting around February 2026. Reporting to the Director of Corporate Services, the Office Assistant Trainee is responsible for providing front-line customer service to the public on a wide variety of matters as well as providing administrative and clerical support across the organization, with a focus on any particular department as assigned.
Typical duties will include:

Answering telephone and in-person enquiries;

Drafting agendas and taking minutes at departmental and committee meetings;
-
Communicating with internal and external stakeholders on matters related to operations of the department as required;
-
Assisting with Freedom of Information requests;
-
Providing clerical/financial support to assigned departments, including the Qualicum Beach Volunteer Fire Department;
-
Transferring data from different formats into database systems;
-
Filing, coordinating meetings, and preparing/formatting letters and reports;
-
Experience managing or supporting social media platforms (e.g., Facebook, Instagram, Twitter)
-
Website updates;
-
Cashier duties;
-
Conducting research;
-
Other general office duties as assigned.
Required qualifications include:

Completion of Grade 12 supplemented by at least two years of office administration experience, preferably within a municipal government setting; additional post-secondary training in office administration and/or accounting is considered an asset.

Exceptional customer service skills, strong written and verbal communication abilities, along with the interpersonal skills needed to interact effectively and professionally with the public and staff.

Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe. Familiarity with other software such as MAIS, FirePro, Active Net and Visio considered an asset.

Ability to type a minimum of 50 words per minute.

Strong analytical and problem-solving skills.

Demonstrated ability to manage multiple tasks, meet deadlines, and maintain a high level of accuracy and attention to detail.

Proven ability to work effectively both independently and as part of a team.

Excellent organizational and research skills.
The terms and conditions of employment are covered by the CUPE Local 401 Collective Agreement. The rate of pay will be $26.65/hr (July 1, 2024 rate). The successful applicant will be expected to work 35 hours/week, Monday to Friday 8:30 am to 4:30 pm.
