About the role

At Volker Stevin, the HR Coordinator plays a key role in supporting the day-to-day operations of the People & Culture team. Reporting to the Manager, Human Resources, this role provides operational and administrative support to both the HR Business Partner team and the Learning & Development function.

The HR Coordinator helps ensure People & Culture processes run smoothly by managing employee lifecycle documentation, maintaining accurate employee and training records, supporting HRIS updates, coordinating learning activities, and responding to routine employee and leader inquiries. Working closely with HRBPs, Payroll, and the Learning & Development Advisor, this role helps ensure consistent, efficient, and well-organized delivery of People & Culture services across the organization.

How You’ll Add Value

HR Support

  • Manage the shared People & Culture inbox, ensuring inquiries are triaged, prioritized, and responded to in a timely manner while routing items to the appropriate HRBP or functional partner as needed.
  • Provide day-to-day operational support to HR Business Partners by responding to routine employee and leader inquiries, assisting with employee lifecycle activities, and coordinating documentation and processes to support consistent People & Culture practices.
  • Serve as the first point of contact for payroll-related inquiries, working closely with the Payroll team to coordinate responses and resolve questions or discrepancies.
  • Process employee lifecycle transactions in ADP Workforce Now and maintain accurate employee records, including employee changes, vacation tracking, and overall HRIS data integrity.
  • Maintain People & Culture policies, templates, SharePoint resources, and organizational documentation to ensure leaders and employees have access to accurate and up-to-date information.
  • Support coordination of People & Culture processes, reporting, and workflow improvements, partnering with internal stakeholders to maintain accurate documentation, tracking, and operational consistency.
  • Support coordination of People & Culture expenses, including purchase orders, invoice tracking, and vendor documentation.

Learning & Development Support

  • Manage the shared Learning & Development inbox and coordinate responses related to internal training programs, development opportunities, and employee inquiries.
  • Provide coordination and administrative support to the Learning & Development Advisor to support the planning and delivery of learning initiatives across the organization.
  • Supporting business with bid requests compiling certificates or documents required for projects.
  • Support administration of the Learning Management System (LMS) within ADP, including enrollments, learning paths completion, and certification tracking.

What You Bring

  • 2+ years of experience in an HR or administrative role
  • Post-secondary education in Human Resources or Office Administration
  • Strong proficiency in Microsoft Office, including Excel (e.g., VLOOKUP) and SharePoint
  • Experience using HRIS platforms is considered an asset, with strong technical aptitude and the ability to learn new systems quickly.
