STO Orthodontics is seeking an enthusiastic Treatment Coordinator, to join our thriving practice. Please note that this role will have some dual responsibilities in Marketing as well.

How You’ll Make An Impact
- Create a Seamless New Patient Experience: Welcome new patients with professionalism and warmth—prepare welcome packets, gather health histories, coordinate x-rays and photos, and guide patients and parents through their first visit. Ensure all clinical and administrative details are ready for the doctor’s exam and follow up with patients who are undecided about starting treatment.
- Coordinate Treatment Planning: Present treatment plans and financial options clearly and compassionately. Prepare exit packets, schedule appointments, complete contracts and informed consents, and ensure all documentation is accurate and up to date in the system.
- Manage Referrals and Specialist Coordination: Handle incoming and outgoing records for transfer patients, coordinate with oral surgeons and general dentists, send and track referral letters, and arrange any necessary pre-treatment appointments such as extractions or cleanings.
- Support Growth Guidance and Consultations: Track daily exams and growth guidance patients, assist with follow-up communications, and help coordinate appointments for impressions, separators, and treatment starts. Participate in consultations and ensure all patient statuses are correctly updated.
- Promote the Practice and Build Relationships: Actively participate in marketing and outreach efforts, including patient contests, Smile Rewards, and community presentations. Coordinate referral lunches, send thank-you notes and gifts, and maintain strong relationships with referring offices.
- Maintain a Professional and Organized Environment: Ensure the exam and consultation rooms are clean and fully stocked, purchase materials for new patient visits, and help meet monthly production goals by maintaining a high conversion rate from exams to treatment starts.
- Collaborate Across the Team: Work closely with clinical and administrative staff to ensure a seamless patient experience. Participate in team meetings, contribute to process improvements, and foster a culture of trust, respect, and cooperation.
- Brand Development & Messaging: Understand and evolve our unique value proposition to differentiate the practice in a competitive market. Ensure consistent, high-quality branding across all materials and platforms.
- Community & Referral Engagement: Build and maintain strong relationships with referring and non-referring professionals, local businesses, schools, and community organizations. Coordinate educational programs, appreciation gifts, and events to foster loyalty and referrals.
- Social Media & Digital Presence: Create and manage a content calendar for social media platforms. Develop engaging campaigns and ensure regular, on-brand updates that reflect our practice’s personality and values. Proficient with AI.
The Teammate We’re Looking For
- High school diploma or equivalent.
- At least two years related experience required OR
- Minimum two years of experience in dentistry, preferably orthodontics.
- Experience in sales is desirable.
