About:
As part of the Asset Management (AMG) team, the Administrative Agent will report directly to the Senior Manager, AMG. The incumbent will be responsible to support the AMG team in Canada and the USA. This is a bilingual position covering all provinces in Canada - proficiency in French is a requirement.
The Administrative Agent plays a pivotal role, supporting and working in close collaboration with his.her team, the Senior Manager AMG, Collections, Recovery, Legal & Debt Resolution, Sales, Credit, and Accounting.
Responsibilities:
- Administration of all auction assets with various auction houses. The role requires facilitating the sale, ensuring statements and funds are received and internal/external communication with respective parties.
- Arranging and following up for all title/ownership documentation and/or registrations for plated vehicles/equipment, may involve discussions with government offices including Quebec.
- Addressing and resolving all 3rd party liens that have been levied against the asset after the recovery process has been completed.
- Data entry and maintenance with respect to various systems including Salesforce and InfoLease.
- Preparation of Sales invoices.
- Assisting the AMG team by following up for outstanding inspection reports and photos from our external reseller partners primarily in Quebec and support for all other provinces.
- Following up for proceeds of sale from our various partners or buyers.
- Auditing AMG file folders to ensure proper documentation and approvals are in place.
- Management of the AMG daily report to ensure all mandatory data has been captured and advise AMG team members for any missing components (following up and ensuring data is updated).
- Provide backup support for similar AMG roles in the USA.
- Ensure process and procedural manuals are regularly updated and remain current in respective MHCCNA systems.
- Ad hoc report assistance and/or preparation (as required), support AMG team with monthly/quarterly reporting requirement.
- Assist Senior Manager, AMG and team members with new project initiatives by providing recommendations, participate with testing and implementation.
- Other duties as required.
The profile we are looking for:
- Post secondary diploma in Business or Office administration (or relevant experience in an administrative capacity supporting Collections/Asset Management)
- Proficient with MS Office including Excel
- Bilingualism French/English to serve clients and partners all over Canada and USA
- General knowledge of PPSA/RPMRR equipment lien registry process (preferred)
- Equipment Finance industry experience (preferred)
- Excellent communication skills
- Organization and time management
- Detail oriented
- Data entry
- Communication and coordination
- Sales support knowledge
- Ability to manage multiple and diverse tasks and workflows simultaneously.
- Ability to function autonomously and proactively with minimal direct supervision.
- Energetic with a high level of integrity and good judgement
