The Ministry of the Attorney General is looking for a motivated, energetic person with strong customer service and time management skills. As a Records File Clerk in the Court Services Division, you'll help manage one of the largest filing systems in the province—over 300,000 records! Your work will keep court operations running smoothly and ensure important files are always organized and accessible. Please note: you will work zero to 36.25 hours per week, depending on operational requirements, with no guaranteed hours.

About the job

As a Records File Clerk, you will help keep Ontario's court system organized and running smoothly. Your main job is to manage a large filing system with hundreds of thousands of court records. Here's what you'll do:

  • Organize and file legal documents so they are easy to find, and fix any mistakes or missing files.

  • Prepare and transfer court files to the Records Centre and update tracking systems.

  • Help judges, lawyers, the public, and court staff by finding and delivering the files they need.

  • Serve clients at the public counter and by phone, explain how to order files, and process payments.

  • Make sure court records are safe and only accessed by authorized people.

This role is perfect for someone who is organized, pays attention to detail, and enjoys helping others in a busy environment.

What you bring to the team

Records Management Skills

  • You know how to organize and retrieve files using numerical and alphabetical systems.
  • You can learn court procedures to find missing files and apply rules like fee schedules under the Administration of Justice Act.

Administrative and Organizational Skills:

  • You understand general office procedures and basic accounting to process payments and balance the till.
  • You can manage priorities in a busy environment and safely lift and move boxes and files.

Computer Skills:

  • You are comfortable using word processing and database programs.

Customer Service and Communication Skills

  • You can handle requests and complaints politely when helping clients at the public counter or by phone.

  • You can write clearly to provide information, order court files, and prepare documents for storage.
