A Day In The Life

Reporting to the Manager of Facilities & Business Support Services, the Client Experience Coordinator will bring professionalism, strong attention to detail, and a commitment to service excellence while delivering an elevated client experience. By anticipating and responding to client needs, this position will provide personalized and polished support to all clients and guests. Through collaborating with both the Facilities and Hospitality teams, the Client Experience Coordinator will ensure boardrooms and common areas are impeccably prepared and maintained, supporting the highest standard of client care. This position is 100% on-site, 9:30 a.m.–5:30 p.m., subject to change.

Responsibilities include, but are not limited to:

  • Welcome clients and visitors with warmth, professionalism, and attentiveness, creating a polished and welcoming environment that reflects the firm’s commitment to exceptional client service and leaves a lasting positive impression.
  • Respond promptly, professionally, and courteously to all incoming calls, ensuring inquiries are handled efficiently and directed to the appropriate department or individual.
  • Manage boardroom and meeting room logistics, proactively problem‑solving and adapting to changing requirements, while clearly communicating adjustments.
  • Collaborate with the Hospitality team in preparing meeting rooms for various events, ensuring spaces are consistently presented at a high professional standard.
  • Work collaboratively with lawyers, assistants, and teams across the firm, including Marketing, IT, HR, and Management, regarding client arrivals and related service needs.
  • Assist with maintaining overall cleanliness and organization of the reception area, hospitality kitchen and other common areas outside meeting room spaces.
  • Identify and report any maintenance or facilities concerns to Facilities promptly, initiating action to support a safe, professional, and client‑ready environment.
  • Perform additional duties as assigned by management to support the efficient operation of the office and business support services.

Required Knowledge and Experience

  • Minimum 3 years of prior reception, front of house, or hospitality experience.
  • Being professional and energetic with a positive “can-do” attitude.
  • Willing to go the extra mile at all times.
  • Strong interpersonal skills with the ability to provide pleasant, professional service to firm members and visitors.
  • Forward thinking, the ability to anticipate needs before they are made known.
  • A team‑oriented mindset with a client service focus.
  • Exceptional communications skills, in person, in writing and over the phone.
  • Excellent organizational skills, with the ability to work independently using initiative and judgement.
  • The ability to adapt to changing priorities and manage multiple tasks.
  • Experience in a professional services environment, law firm experience is considered an asset.

Compensation

The typical salary range for this position is $50,000 - $60,000 annually; the base pay offered is based on location and may vary depending on job-related knowledge, skills, experience, internal and market equity.
