Known as “The Abnormal Beauty Company”, DECIEM is the parent company of The Ordinary, NIOD, and other beauty brands & is an industry disruptor with a science first approach to innovation. DECIEM was Co-Founded in 2013 by the late Brandon Truaxe, a visionary who set out to change the beauty industry through authenticity and transparency. WHAT WE'RE LOOKING FOR We’re looking for a TA Operations Associate (1 year contract), who will support the operational excellence of our recruitment systems, onboarding, campus recruitment, and employer branding. In this role, you will ensure a seamless candidate experience, optimize hiring workflows, and support the broader TA team with data management and process improvements.
This is a hybrid role based out of our Liberty Village Toronto office.
WHAT YOU'D BE DOING IN THIS ROLE Systems & Data Management Support and optimize our recruiting technology, processes and data analytics
- Assist in maintaining and updating Peoplefluent (ATS) templates, workflows and pipelines
- Document standard operating procedures (SOPs) for key talent acquisition activities and best practices to ensure consistency
- Prepare recruitment reports, dashboards and visualizations to communicate data-driven insights to inform talent acquisition strategies and decision-making.
Pre-boarding Responsible for managing the pre-boarding process ensuring that new hires have a smooth transition from offer acceptance to their first day
- Act as the primary point of contact for new hires from offer acceptance through their start date; addressing any questions or concerns, providing necessary support and clear and timely communication regarding the pre-boarding process
- Verify the accuracy and completion of all preboarding documentation, and ensure compliance with employment standards
- Coordinate with HR and Hiring Managers to ensure a seamless onboarding experience for new hires. Coordinate with IT and other departments to ensure that all equipment and resources are set up before their start date
Onboarding Responsible for ensuring a smooth and efficient onboarding process for new hires, providing support to help new hires integrate successfully into the DECIEM culture
- Serve as the primary point of contact for new hires, addressing questions and concerns throughout the onboarding process
- Develop and maintain onboarding materials and resources.
- Collect feedback from new hires and hiring managers to identify areas for improvement in the onboarding process and implement necessary changes
Employer Branding & Candidate Experience Supports the development and execution of of employer branding strategies to enhance our talent attraction efforts, and position DECIEM as an employer of choice
- Create engaging content on social media platforms, such as LinkedIn, Glassdoor & Indeed, and digital marketing asset
- Coordinate and support the execution of campus recruitment programs, including career fairs, information sessions, internship programs and networking events. Track and report on employer branding metrics, such as engagement rates and reach.
SKILLS AND QUALIFICATIONS NEEDED TO GET THE JOB DONE
- Technology savvy with proficiency in using multiple recruitment tools (ATS), HRIS systems (Ceridian Dayforce), social media platforms and Microsoft Office Suite
- Ability to multi-task and manage competing priorities and deadlines in a very fast paced, ever changing environment
- Excellent organization skills and demonstrate accuracy and detail-orientation is a must
- 3+ years of progressive experience in full life-cycle recruiting and onboarding required
- Relevant education in Human Resources or another relevant field OR equivalent work experience is an asset
