Your Opportunity:
Reporting to the Care Manager for the Stollery Child, Youth, Family & Addiction Mental Health (CYFAMH) programs, the Administrative Assistant IV plays a key role in supporting the Stollery Urgent & Outpatient Psychiatry Clinics and the Emergency Department Mental Health (ED MH) team. As the first point of contact for patients & families this position provides professional, welcoming, and knowledgeable administrative services while ensuring all interactions reflect the values of respect, sensitivity, and confidentiality. The Administrative Assistant IV delivers advanced administrative support, including complex schedule coordination, management of clinical information, clinic processes, and maintaining efficient workflows within a fast paced mental health environment. This role also provides staffing support to the ED MH team in collaboration with Staffing Services. Duties include: Provide professional reception and front line support to clients, visitors, and staff. Manage & coordinate incoming referrals, work flow processes, work queues, appointment bookings, physician schedules and phone calls. Prepare Mental Health Act and CTO forms; handle sensitive situations using established emergency procedures. Prepare physician letters, correspondence, filing, photocopying, and document formatting. Prepare and distribute meeting agendas; record and circulate minutes. Support staff scheduling, payroll entry, and workforce management tasks. Maintain confidentiality while managing high volumes of clinical information. Collaborate with psychiatrists, clinic nurses, allied health staff and the ED MH team to support daily operations.

Required Qualifications:
Some post-secondary education.
Additional Required Qualifications:
High school diploma. 3–5 years experience in Addiction & Mental Health. Strong computer skills, including Connect Care and electronic medical records. Excellent communication, customer service, and multitasking abilities. Knowledge of HIA, POPA, and Mental Health Act requirements. Ability to manage confidential information and work in a fast paced environment. Non Violent Crisis Intervention training; strong conflict resolution skills. Ability to sit for extended periods, perform repetitive keyboarding, and lift up to 20 lbs. Typing speed of 60 wpm. Proficiency with Microsoft Word, Excel, Outlook, and Visio. Experience with payroll systems and workforce scheduling tools (WFM). Proficiency in English (written and verbal).
Preferred Qualifications:
Experience using ePeople, payroll or WFM. Recent work within CYFAMH programs. Additional administrative training or coursework
