The Global Markets Documentation Team is an integral part of TD Securities. The group provides best-of-class service to business partners in TD Bank Financial Group (the Bank).

Job Description

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support the Managing Director and Global Head of the Global Markets Documentation (GMD) Team at TD Securities. The EA will play a key role in supporting the MD’s leadership of global documentation and strategic business enablement initiatives, ensuring smooth operations and effective coordination across teams.

Principal Responsibilities

  • Support the Global Markets Documentation head of the group.
  • Establish professional and personal rapport with senior executives and their assistants.
  • Manage MD’s calendar, prioritize meetings, and set up external and internal meetings.
  • Support the execution of strategic initiatives by tracking milestones and coordinating cross-functional meetings.
  • Prepare a wide range of correspondence (letters, presentations).
  • Maintain and update internal databases and documentation trackers to ensure accurate, up-to-date records of trading agreements, project milestones, and team deliverables.
  • Coordinate with external vendors to track services and ensure timely processing and payment of all invoices.
  • Coordinate travel arrangements and prepare travel itineraries. Complete expense reports and arrange for payment.
  • Serve as a central point of contact for internal and external stakeholders, ensuring timely and professional communication.
  • Draft and edit correspondence, presentations, and reports for executive-level audiences.
  • Support team operations, including onboarding, training coordination, and internal communications.
  • Assist in organizing leadership townhalls, team events, and knowledge-sharing sessions.
  • Various other duties as requested.

Job Requirements

Qualifications & Skills

  • 2+ years of experience supporting senior executives, preferably in financial services, legal, or documentation-heavy environments.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management systems.
  • Experience supporting strategic projects and managing documentation workflows is highly desirable.
  • High level of discretion, integrity, and professionalism in handling sensitive information.
  • Collaborative mindset with the ability to work effectively across departments and time zones.
