About the Opportunity
The Records Management Coordinator is responsible for developing, implementing, and maintaining an effective records and information management (RIM) program across the organization. This role oversees the full lifecycle of both physical and electronic records to ensure legal, regulatory, and organizational compliance. Key duties include establishing records policies and retention schedules, managing record classification and storage systems, digitizing vulnerable records, and supporting the use and optimization of electronic records management software (e.g., M-Files).
The Coordinator works closely with department heads to assess records workflows, identify improvement opportunities, and ensure staff are trained on best practices, including naming conventions and secure record handling. The role also involves conducting regular audits, updating RIM policies, and facilitating staff training programs in collaboration with IT and external vendors.
Duties and Responsibilities
- Create and maintain policies, procedures and systems for managing records from creation to disposition
- Overseeing the entire lifecycle of records including creation, maintenance, storage, retrieval and destruction
- Maintaining data integrity, ensuring records are accurate, complete and reliable
- Working across departments to support organizing and maintaining both physical and digital records
- Support the Information Technology Department in implementing IT and security procedures
- Educate staff on proper records management practices
- Assist with information requests, including information sharing requests under our Records Management Policy and in accordance with the Freedom of Information and Protection of Privacy Act (FOIPPA)
- Develop and assist with onboarding/offboarding processes
More About You
Candidates for the Records Management Coordinator role should possess the following:

Education:
An undergraduate degree in Records and Information Management (RIM), Library and Information Science, or a related field is preferred. Advanced degrees and professional certifications (e.g., CRM, CIP) are considered strong assets. -
Experience:
Previous experience in RIM is essential, ideally at an intermediate (Level 2) or advanced (Level 3) level. This includes hands-on experience managing records programs, applying privacy and security practices, and working with electronic records management systems (e.g., M-Files). Experience developing RIM policies, leading audits, and engaging with multiple departments is highly valued. -
Training and Skills: Candidates should have training or proficiency in:

KNOWLEDGE, SKILLS AND ABILITIES
Knowledge:
- Principles and best practices of records and information management (RIM)
- Full records lifecycle: creation, classification, storage, retrieval, and disposal
- Legal and regulatory requirements related to records retention, privacy, and security
- Information Governance in Indigenous Contexts**:** Awareness of OCAP® principles (Ownership, Control, Access, and Possession) and how they apply to records management in a First Nations setting.
- Electronic records management systems (e.g., M-Files) and document management tools
- Business classification schemes and records retention scheduling
Skills:
- Strong organizational and analytical skills for managing large volumes of records and optimizing systems
- Excellent communication and interpersonal skills for training and mentoring staff with varying levels of technical knowledge, including training employees in relevant RIM practices and software usage.
- High attention to detail and accuracy to ensure data integrity
- Technical proficiency in RIM software, cataloguing tools, and digital file systems
- Ability to engage respectfully with Elders, leaders, and community members to gather input on records practices and priorities.
- Project management and auditing skills for evaluating RIM practices and ensuring compliance
Abilities:
- Work independently and collaboratively across departments
- Identify opportunities for improving efficiency and compliance
- Understand and align RIM practices with organizational goals and workflows
- Maintain confidentiality and apply security measures to sensitive information.
- Ability to navigate complex governance structures while maintaining compliance and community priorities.
- Committed to long-term stewardship of records that reflect the identity, rights, and governance of the community.
Position will require proof of a clear criminal record including vulnerable sector check, provision of a clean driver's abstract and a Valid Class 5 driver’s license.
Salary will commensurate with experience from a range of $58,871 - $84,735 and includes a favorable benefits package and pension plan.
Preference will be given to candidates of Ktunaxa or other Indigenous ancestry and ʔaq̓am encourages applicants to self-identify within your application.
