Position Summary

Reporting to the Associate Registrar, Enrolment Service & Admissions and working as part of the Registrar’s Office team, the Enrollment Services Officer (ESO) contributes to the highest level of service to the general public, staff, faculty and students of North Island College for all functions carried out on behalf of the Enrollment Services Representatives’ team. The Enrollment Services Officer is aware of the Mission and Values of North Island College, incorporating and practicing the values in everything they do.

Duties & Responsibilities

  1. This position is responsible for providing leadership with the day-to-day operations for Enrollment Services Representatives’ team that includes providing registration services to current and prospective students in person, by telephone and electronically.

  2. Responsibilities will include leading the team in excellent customer service, while ensuring accurate and consistent information is provided to the public on behalf of the College.

  3. Organize and schedule staff members to ensure sufficient coverage for the team’s areas of responsibility

  4. Distribute daily processing work across the team members located at different campuses and ensure that there is coverage of these assigned activities when there is vacation or illness

  5. This position is the first point of contact to triage complaints and/or concerns from the student(s) and the public to determine best approach to resolution or support. The complaint/concern if unresolved will be redirected to the Associate Registrar or responsible administrator as appropriate.

  6. Provides orientation and training for new staff and existing staff members that are part of the Enrollment Services Representatives’ team. with a direct focus on excellent customer service. This includes developing and maintaining a training manual for the Enrollment Services Representative position College-wide.

  7. Periodically reviews the registration procedures in the Student Services’ Business Practice Manual and brings forward updates as needed.

  8. Works collaboratively with Recruitment and Admissions with student contact related to conversation or registration.

  9. Performs all registration duties, collection of fees, including providing information and guidance to new and current students, in person, by phone or electronically. Review’s student course selection, registers and enters supporting documentation. Data enters student applications, transcript requests and other related documents as necessary.

  10. This position is responsible for ensuring information is accessible and maintained in all Student Services areas.

  11. Work closely with Finance to review operations of cashiering functions related to wire transfers and online banking payments.

  12. Performs cashier duties, including maintaining cash float, balancing daily cash report for Finance, and preparing bank deposits.

  13. Work with the Associate Registrar to keep informed about registration process method that has been assigned to each program and ensure these are properly reflected on the web site and understood by the Enrollment Services Team

  14. Reports to the Associate Registrar any nonstandard issues as they relate to registration methods and individual student registration.

  15. Manages mail and courier functions campus-wide where applicable.

  16. Liaises with other departments/locations to help develop processes and procedures that will ensure adherence to current registration policy and business processes. This includes developing a close working relationship with Student Records, Advisors, Recruiters, Counselors, Admissions, and Library.

  17. Ensure supplies and materials are ordered and available for term start.

  18. Works with Information Technology and/or Business Application Services to troubleshoot issues with multi-function printer and/or Photo ID.

  19. College-wide responsibility for quality control and efficient production of student ID cards

  20. Under the direction of the Associate Registrar, provides support with Student Services events at the Comox Valley campus, specifically, the annual Convocation Ceremony.

  21. Ensure proper coverage for the Microsoft Teams Switchboard. Spot checking that the correct number of team members are logged in to support the incoming calls to the College wide switchboard during regular business hours.

  22. Performs other duties as required or as assigned by the Associate Registrar.

  23. May be required to occasionally travel to other campuses.

  24. This position may be required to work evening hours.

Required Education & Experience

  1. Minimum of two (2) years of post-secondary education.

  2. Minimum of three (3) years related work experience in the Office of the Registrar

  3. A combination of education and experience in student services related to the enrollment service, registration, payment processing, student records data entry and admissions of students, in a complex post-secondary education environment may be considered.

Required Knowledge Skills & Abilities

  1. Ability to be consistent, accessible, displaying calm and sound judgment during high conflict situations. Ability to respond initially and refer students, appropriately, who present to them in crisis.

  2. Excellent organizational and time management skills with the ability to plan and prioritize tasks, and efficiently meet deadlines.

  3. A thorough knowledge of the B.C. post-secondary education system and North Island College programs and courses.

  4. The ability to effectively lead and demonstrate team behaviours such as active listening, collaboration, balanced participation, and positive contribution to shared team goals.

  5. Demonstrated excellent interpersonal, communication and customer service skills.

  6. Excellent oral communication skills with the ability to effectively speak to students and the public.

  7. The ability to organize and prepare written materials in a clear and concise manner for the use of the team is essential.

  8. Intermediate level of proficiency and experience in using a large database system; working experience with the Colleague student records database system is required.

  9. Intermediate level of proficiency with emphasis on MS Office Word; basic knowledge of Excel an asset.

  10. A minimum of 50 words per minute typing/data entry.

  11. Ability to work professionally and supportively with a diverse population.
