About the role

The Legal Assistant coordinates and performs high level tasks to support multiple lawyers’ practices. This role requires excellent time management, communication, and organizational skills. It also requires extensive knowledge of the courts and agency procedures in labor and employment law.

This role is located in Toronto and follows a hybrid schedule of 2 days per week in office unless business requires otherwise.

Pursuant to Ontario Employment Act, 2000 (ESA), the annual salary range for this position is $74,000 - $101,000 CAD contingent on relevant experience and education and includes eligibility for performance-based bonuses. We offer generous compensation and benefits packages. This is a new position. We do not use AI-based tools to assist in the screening, assessment, or selection of applicants for this role.

Responsibilities

  • Responsible for coordinating lawyer support from various corporate departments including calendar and billing teams.
  • Responsible for verifying court and other deadlines and alerting lawyers.
  • Responsible for creating and updating litigation matters.
  • Responsible for coordinating and finalizing documents for filing with courts or administrative agencies, and service upon other parties.
  • Responsible for e-filing documents with courts and agencies in accordance with applicable rules.
  • Responsible for timely and properly filing documents and associated materials in the firm’s filing system.
  • Responsible for accurately creating and submitting new client matters within firm standards.
  • Responsible for coordinating transcription of audio recordings.
  • Responsible for coordinating the printing and assembling of documents with office services personnel.
  • Responsible for maintaining lawyer contact lists and quarterly contingency plan filings.
  • Responsible for timely submission of weekly task log identifying projects and assignments.
  • May be responsible for reviewing and revising client pre-bills.
  • Hybrid schedule with in-office attendance required at least twice per week.

Qualifications

  • Minimum 5 years' experience as a legal assistant, preferably with labour and employment law experience.
  • Highly organized with the ability to support multiple lawyers’ practices and coordinate multiple tasks and requests effectively.
  • Demonstrates strong time management expertise with ability to prioritize and anticipate practice needs.
  • Demonstrates initiative to identify, monitor, and execute tasks related to case timelines.
  • Demonstrates strong written and verbal skills to communicate effectively with internal and external parties.
  • Demonstrates advanced knowledge and proven expertise to produce Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Possesses extensive knowledge of court rules and filing procedures.
  • Demonstrates proficiency in using MS Office (Excel, PowerPoint, OneNote, Outlook, Word), and Adobe.
  • Experience with document management systems (i.e., NetDocuments).
  • Proficiency in InTapp time keeping and 3E Accounting software is preferred.
  • Demonstrates expertise in creating compliant legal documents and correspondence.
  • Demonstrates knowledge of legal terminology.

Education & Certifications

  • Bachelor's degree preferred.

Experience Required

  • Minimum 5 years' experience as a legal assistant.
  • Labor and employment law experience or other similar practice area experience a plus.
