BGC Big Brothers Big Sisters is seeking individuals interested in the following position(s):

Competition Number: AA0925 –Administrative Assistant

Position(s) Available: One (1)

Status: Full-Time 12-Month Term Position (37.5 hours per week)

Salary Range: $41,957 - $46,313 annually

We are looking for a highly organized, proactive and customer service focused Administrative Assistant to join our team. This role provides office management support, and delivers administrative support to the HR, Finance and Service Delivery departments.

The key responsibilities of this position will include:

  • Overall administrative support including managing reception inquiries, office management, e-mail correspondence, and maintaining a welcoming office environment.
  • Assist in office administration and maintenance including boardroom booking and overseeing supply orders.
  • Responsibility for overall building support including daily kitchen upkeep and cleaning of high touch surfaces.
  • Maintain accurate record keeping and file maintenance including filing, archiving, and information management to ensure compliance with organizational and legal requirements for document storage.
  • Update and maintain electronic file management database.
  • Maintain an overall working knowledge of all the programs and services in the agency.
  • Provide data entry and administrative support to HR, Finance and Service Delivery teams
  • Organize ticket distribution list for donated ticket event opportunities.
  • Support donation tracking and management, interacting with donors and suppliers.
  • Provide administrative support to committees, including events management, taking minutes and following up on action items.

The successful candidate will have:

  • Diploma or related in administration, office management, human resources and records management
  • A minimum of 2 years’ experience with involvement in a multi-department administrative role, events coordination, office management, records & electronic database management
  • Experience providing excellent customer service. Previous experience with volunteers, children and families is an asset
  • Proven proficiency in Office 365, Canva, Adobe, Outlook programs. Knowledge of working with database programs is an asset
  • Demonstrated good communication skills (written and oral)
  • Ability to manage time effectively and be results oriented and have attention to detail
  • A valid driver’s license and vehicle.
  • Flexibility to provide 1-2 evenings as needed

Candidates must be capable of performing independently as well as part of a team environment and have excellent interpersonal skills.
