The Ottawa Food Bank

The Ottawa Food Bank is a highly respected social service agency with a mission to collect and distribute food to its network of agency partners, who in turn serve individuals and families across the city. Founded in 1984 to fight community hunger, the Ottawa Food Bank works to ensure that everyone has access to healthy, dignified, and culturally appropriate food.

We are currently seeking a Project Assistant to join our Programs and Planning (P&P) team through the Canada Summer Jobs (CSJ) 2026 program.

P****ARTNERSHIP WITH CANADA SUMMER JOBS

This position is funded through Canada Summer Jobs (CSJ), part of the Youth Employment and Skills Strategy (YESS). CSJ provides youth aged 15 to 30 with paid, full-time work experiences that support skills development and successful transition into the labour market.

CSJ program objectives include:

  • Providing quality work experiences for youth

  • Improving access to employment for youth facing barriers

  • Supporting the development of transferable employability skills

This role has been created specifically for CSJ funding and would not otherwise be fully resourced.

POSITION SUMMARY

Reporting to the Manager, Programs and Planning, the Project Assistant will provide administrative and project‑based support within the Programs and Planning portfolio. This role will support data governance work, system implementation, and documentation updates, while contributing to a range of strategic and business‑improvement initiatives.

RESPONSIBILITIES

Data, Policy, and Systems Support

  • Code and organize interview responses to support data analysis and reporting

  • Review, update, and revise policies and procedures related to data governance

  • Support the setup and implementation of a new Customer Relationship Management (CRM) system

  • Assist with data organization, documentation, and quality assurance activities

Administrative and Project Support

  • Provide administrative support to strategic projects, including:

  • Minute-taking during meetings

  • Editing and formatting documents

  • Organizing and maintaining digital files

  • Support coordination tasks related to training, engagement, and planning initiatives

Strategic Initiatives Support

The Project Assistant may support administrative and coordination work related to:

  • Agency training initiatives

  • Agency CRM implementation

  • New agency application processes

  • Resident engagement initiatives

  • Wrap-Around Support Initiative

  • Home delivery transition

  • Healthy Marketplace projects

  • Data governance initiatives

Project scope and timelines will vary based on departmental priorities.

KNOWLEDGE, SKILLS, AND QUALIFICATIONS

Essential Qualifications

  • Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint)

  • Strong organizational and administrative skills

  • Clear written and verbal communication skills

  • Ability to manage multiple tasks and competing priorities

  • Comfort working with data, documentation, and structured processes

Assets

  • Experience or education in administration, social services, nonprofit work, or a related field

  • Proficiency with Excel, Canva, and/or SurveyMonkey

  • Familiarity with CRM systems (specific platform to be determined closer to recruitment)

  • Experience working with external partners, project teams, or working groups

SKILLS DEVELOPMENT & YOUTH EMPOWERMENT

Through this role, the Project Assistant will develop transferable skills in:

  • Planning, coordination, and logistics

  • Data organization and analysis support

  • Policy and procedure development

  • Working with external partners and vendors

  • Minute-taking, documentation, and organization

  • Collaboration across multiple projects and teams

The role encourages ownership of tasks and provides opportunities to step into leadership on select projects based on interest and performance.

LANGUAGE REQUIREMENTS

Fluency in English (spoken and written) is required. French is not required; the ability to speak additional languages is an asset.
