Rethink is looking for an enthusiastic Office Manager. In this role you get to work in our Toronto office daily. By owning the day-to-day experience, you will ensure our space runs smoothly and stays organized. You’ll be the first and main point of contact in the office and provide Rethinkers with the right tools, environment and programs to succeed.
The Opportunity:
Employee Support and Office Operations
- Act as go-to person for day-to-day employee requests
- Maintain office standards: cleanliness, organization and overall functionality
- Monitor and restock supplies, kitchen items and shared resources
- Liaise with building management, cleaners, IT support and service vendors
Reception and Admin
- Primary in-office point of contact for employees, clients, visitors and vendors.
- Greet guests and set up meeting rooms as needed
- Manage incoming and outgoing mail, couriers and deliveries
- Provide day-to-day administrative support: tracking expenses, invoices and keeping documents/reports up-to-date
Onboarding
- Assist the Rethinker Experience team with new hire onboarding, including sending out welcome emails, leading first-day office tours, and providing new hires with swag
Catering

Plan and execute weekly catered lunches for Toronto Rethinkers

Work closely with Accounts team to coordinate catering for in office client meetings

Arrange catering for offsite management meetings as needed
Events & Meetings
- Oversee planning of company/team events: ideating, resourcing, set up/tear down
- Co-manage office initiatives that enhance morale and team connection
What you’ll bring:

3+ years' experience in office management
-
Administrative work experience
-
Strong communication and relationship building skills

Excellent organizational skills
-
Effective team player who can jump in wherever is needed

Strong attention to detail with that ability to prioritize and manage multiple projects

Ability to work independently as well as on a team

A "can-do" attitude – no ask is too big or too small for you

An entrepreneurial spirit – you take initiative and ownership of your work and bring fresh thinking to the table
