Project/event Coordinator
About the role
Our client, a Big 6 Bank here in Canada, is seeking a project/event coordinator to join their team in Edmonton/Calgary, AB! This position is 100% remote, but the Bank prefers if the candidate is local to the Edmonton OR Calgary areas.
We are seeking a proactive and highly organized Event or Project Coordinator to oversee the successful execution of multi-city operations across Toronto, Winnipeg, and Vancouver. With our banking client going through a merger and acquisition, there are thousands of employees who will be partaking in training cohorts across Canada.
This individual will be the project coordinator supporting the learning & development team who runs these programs. In order to provide a seamless experience for all employees, this person is the key point of contract to ensure all logistics are organized and addressed on time. This is a unique role - acting as an executive assistant, logistics/ event and project coordinator all in one. This role is ideal for someone who thrives in dynamic environments and is comfortable managing logistics, technology, and people across multiple locations.
Key Responsibilities
Catering Coordination: Ensure catering arrangements are confirmed and executed smoothly at all three locations (proven experience managing large scale events-- this is a 10,000-person oversight)
Technology Setup: Verify that all necessary technology is in place and functioning at each site prior to training sessions.
Logistics Oversight: Manage and streamline logistics across all locations to ensure seamless operations.
Invoice Management: Monitor and ensure timely payment of all invoices related to the project.
Team Supervision: Oversee and support on-site personnel in each city - training room coordination, facilitation schedules, catering etc.
Adaptability: Embrace the evolving nature of the role and contribute to shaping its future scope. This candidate must be calm under pressure and very agile
Qualifications
- 1-2 years of event planning or project coordination (proven experience of managing a large-scale event/ project in its entirety)
- Ability to manage multiple priorities across different time zones and teams (10,000-person oversight across Winnipeg, Toronto and Vancouver)
- Strong communication (ability to work with all levels of stakeholders)
- Strong MS Office (outlook, word, excel, powerpoint)
Nice To Have
Expense Management platform experience (Ariba, Concur etc.)
Work Environment
100% remote - preferred candidate is local to Edmonton OR Calgary and/ or working MDT hours.
The core hours are 9-3 (MDT) - the candidate has a flexible schedule in that they can start earlier if needed.
Contract Duration: Until 6 months with opportunity of extension OR conversion to permanent
Pay: $25 - $30/hr
Pay And Benefits
The pay range for this position is $25.00 - $30.00/hr.
