The LAS YSD Coordinator will report to the Manager, Language Assessment Services and provide leadership and support to assessment staff at York, Durham, Simcoe sites and also administer language assessments to eligible adult clients.
DUTIES AND RESPONSIBILITIES
- Supervision & Reports Preparation
- Supervise team of CLARS admin, Data and Reporting Officer and assessors in the delivery of service across YSD locations
- Prepare monthly and annual statistical data to support reports prepared for CLARS funders and language partners through supervising the data and reporting officer staff.
- Support manager with appointment scheduling for the testing center sites to ensure smooth work flow and exceptional customer service to clients, community partners and colleagues
- Communicate site specific matters to the manager in a timely fashion based on degree of importance
- Ensure smooth workflow and exceptional customer service to clients, community partners and colleagues
- Cultivate a positive, engaged and healthy team environment and a OneAchēv mindset
- Assist manager in preparing casual payroll information; track accuracy of internal records on casual staff hours
- Use designated reporting systems, such as iCARE, to upload data as required
- Provide training regarding onsite procedures and policies specific to the CLARS Language Assessment Centre protocols and guidelines for new Assessors
- Assist with quality control of client files by verifying accuracy of data entered by assessment staff and notifying manager of discrepancies/concerns
- Assist SPOs with new course activations on HARTs and make funder approved changes to class schedules as requested/needed; forward other SPO inquiries as appropriate to the manager to determine follow up.
- Provide site coverage and supervision in the absence of the manager
- Pro-actively support the team in addressing client/provider needs in a timely and efficient manner; notify and involve manager as necessary
- Compile and submit a monthly Coordinator report to manager, as well as, prepare other special reports as required (for example, client surveys)
- Ensure CLARS Language Assessment Centre staff team adhere to site- specific and organization wide safety and other mandatory procedures
- Effectively communicate with, and support the manager to ensure cohesive delivery of services to clients and language training providers
- Report issues and recommendations to management in a timely manner
- Facilitate employee goal-setting and timely conduct of performance reviews
- Facilitate regular team meetings and provide site updates at all-staff meetings
- Work collaboratively with the other coordinators and staff to identify/implement motivation and professional development initiatives to foster and maintain positive team morale
- Travel to other sites in YSD as required
- Language Assessment and Referral
- Administer assessments to adult clients; including cover assessments when assessors call in sick
- Complete placement /referral documentation using the HARTs/CLARS database
- Liaise with Service Providers regarding general inquiries and placement
- Ensure consistent, warm and welcoming approach to the reception of all clients
- Screen clients for language programs
- Offer general information and orientation sessions to clients
- Monitor and update information on services provided by community partners
- Participate in special projects promoting programs
- Liaise with other Language Assessment Centers within and across the regions as needed
QUALIFICATIONS
- Special Skills, Knowledge, and Experience Required:
- Familiarity with CLARS Operational Guidelines and protocols
- Demonstrated experience with successful change management initiatives
- Strong background in implementing organizational changes, streamlining processes, and leading teams through transition
- Ability to build consensus during the adoption of new tools, systems, or policies
- Ability to resolve conflicts tactfully and foster open communication across diverse teams and service partners
- Demonstrated experience with the National Language Placement and Progression Guidelines
- Minimum two or more years experience supervising and managing teams required
- Ability to support and motivate others in a collaborative team environment -interpersonal skills including feedback and coaching
- Sensitivity to, and awareness of, diversity of cultures represented by clientele, staff and providers
- Ability to support culturally and linguistically diverse clients in a respectful and inclusive manner
- Excellent verbal and written communication skills to facilitate collaboration with internal and external stakeholders
- Organizational skill and attention to detail
- Individual consultation/interviewing skills
- Experience in using Excel, Word, Powerpoint, Sharepoint, Teams and Outlook
- Several years experience providing language assessments is preferred
- Knowledge of HARTS (experienced user preferred)
- Knowledge of eligibility for language programs (IRCC and MLITSD requirements)
- Knowledge of language training options and local community service provider.
- Education and Certification Required:
- Post-secondary education in related field - e.g. undergraduate degree in communications, social work or teaching; with strong interpersonal focus - language studies an asset
- CLBA, CLBLA, CLBPT, ELTPA Certification and others as identified by funders is considered an asset
- TESL ON certification required
- The successful candidate must have access to a car and be able to travel to various intranet locations across York, Simcoe, and Durham Regions.
