Admin I - Dispatch
About the role
Accountability:
The Hostel Admin I - Dispatch is directly accountable to the Manager – Transportation.
Job Summary:
The Admin I – Dispatch is responsible for coordinating/dispatching the ground transportation of the SLFNHA clients attending their appointments in Sioux Lookout and Thunder Bay.
Qualifications:
- Persons of First Nations ancestry will be given preference (OHRC, Part II, Special Employment).
- Ability to communicate in one of the First Nations dialects in the Sioux Lookout Zone is an asset.
- Written and oral communication skills acceptable to the employer that meet the requirements of the role of Admin I Dispatch.
- Experience in frontline Customer Service and working in a fast-paced environment.
- Excellent verbal communication skills, able to communicate clearly whilst working in a high-paced, high-pressure environment.
- Must be organized and good attention to detail skills
- Must be able to gain clearance to the Medical Transportation Record System (MTRS). Support will be provided.
- Demonstrated computer skills, ability to use Microsoft Office products and accurately type data.
- Able to solve problems, use good judgment and make sound decisions.
- Ability to work independently and work well in a team.
- The ability to perform the requirements of the position on a regular basis.
Roles and Responsibilities:
- Dispatch and coordinate all ground transportation for clients.
- Ensure the clients are met in a timely manner, delivered to their appropriate destination and are connected to their appointment or agency.
- Ensure Driver/Interpreters are aware of all known client conditions that require special attention and care.
- Maintain communication by being in contact with the SLFNHA Interpreters to advise them of all incoming and outgoing clients' air travel.
- Fax all discharge papers to the Discharge Department daily.
- Update and maintain pick up list.
- Liaison with accommodations, interpreters, drivers, discharge and other external service providers
- Participate in and contribute to regular staff development activities and staff meetings.
- Work as a team member with co-workers, SLFNHA staff and other organizations
- Complete paperwork necessary, as well as submit incident reports to the supervisor when necessary
- All other duties as assigned
Working Conditions:
- The role involves extended periods of sitting and sustained concentration while performing clerical and data entry tasks.
- Occasional bending, lifting, and reaching may be required to manage files or assist with office organization.
- The position requires flexibility in scheduling, including early mornings, evenings, weekends, and public holidays.
