The RoleThe Interim Program Support plays a key role in delivering high-quality, inclusive programs at Between Friends. Reporting to the Program Manager, this role supports the planning, coordination, and day-to-day implementation of programs and events to ensure they run smoothly and provide safe, fun, and meaningful experiences for participants.
The Interim Program Support also assists with recruiting, training, and supporting seasonal staff, managing program logistics such as scheduling and supplies, and monitoring program quality through feedback and evaluation.
This position requires flexibility, including availability for on-call duties and occasional evening and weekend work.
What You’ll Do

-Keep Programs Organized– Coordinate facility bookings and maintain accurate, up-to-date program calendars. -Prepare Teams for Success– Assemble staff kits, supplies, and program materials so teams have everything they need to deliver great experiences. -Support Program Communications– Monitor and manage communication channels such as Slack and program inboxes to ensure information flows smoothly. -Maintain Digital Systems– Update and maintain digital tools such as the Connect App and Google Drive folders to support program operations. -Support Program Planning– Review participant profiles after registration and prepare summaries for program staff. -Coordinate Program Documentation– Assist with digital training resources, track completion of policies and procedures, and support documentation processes. -Ensure Accurate Reporting– Review incident reports and follow up as needed to maintain accurate records and ensure appropriate action.

Who You AreYou are an organized, compassionate, and community-minded professional who enjoys creating inclusive experiences. You bring both attention to detail and genuine care for participants, ensuring programs run smoothly while keeping people at the center of everything you do.
Experience & Knowledge

  • At least 2 years of experience in program coordination or a related role
  • Experience working with individuals with disabilities is an asset
  • Understanding of inclusive programming and the importance of belonging and accessibility

Skills & Strengths

  • Strong communication, organization, and problem-solving skills
  • Ability to manage multiple priorities and adapt in a dynamic environment
  • Professionalism and discretion when handling sensitive information

Leadership & Collaboration

  • Experience supporting or supervising staff or volunteers
  • Ability to build positive relationships with families, colleagues, and community partners
  • Empathetic, approachable, and collaborative working style

Technical & Practical Skills

  • Comfortable using Google Workspace and digital registration systems.
  • Strong administrative skills including scheduling, documentation, and record-keeping.

Personal Qualities

  • Flexible, compassionate, and resourceful
  • Confident in managing challenges and resolving conflicts
  • Committed to creating positive experiences for participants

Requirements and Certifications

  • First Aid and CPR certification required.
  • Valid Class 5 driver’s license with the ability to drive within Calgary and surrounding areas.
