About the role

The Public Works Administrative Assistant plays a pivotal role in ensuring smooth operations within the Public Works Department by providing comprehensive administrative and clerical support, strong communication skills, independent judgment and initiative. Attention to detail, proficiency in office software, and the ability to prioritize tasks effectively.

Responsibilities

  • Administration and filing of the following programs and application forms:
    • Snowplowing Private Driveways
    • Grading Private Driveways
    • Calcium Dust Control
    • Used Oil Dust Control
    • Field Approach Upgrades
  • Bids:
    • Hourly Hire Equipment Bids and Trades Hourly Hire Bids: Preparation of advertising, form updates, and the Equipment and Trades Registry from the Hourly Hire Bids.
    • Gravel Truck Bids: Preparation of advertising, form updates, and the Gravel Truck Registry from the Gravel Truck Bids.
  • Prepare and maintain the Public Works Roads on-call schedule and on-call information binder.
  • Public Works advertising as necessary including submissions to Alberta Purchasing Connection to meet New West Partnership Trade Agreement procurement requirements.
  • Maintain High Prairie and Swan Hills Airport Registries.
  • File airport reports:
    • Airport movements & weekly reports
    • High Prairie Airport fueling station quality control records
  • Meetings: prepare agendas and take minutes/discussion notes for the Public Works Department including the High Prairie Airport Advisory Committee, monthly staff meetings and other meetings as needed.
  • Preparation and distribution of road ban orders.
  • Preparation and distribution of bridge closure orders.
  • Road Permitting: overweight, over dimensional, special and road use agreements.
  • Organization of Council Road Tours yearly or as directed by CAO/Council.
  • Manage Road Allowance Lease Agreements and collection of fees.
  • Oilfield and utility company crossing requests and notifications.
  • Public Works staff course, conference and hotel registrations.
  • Prepare department correspondence as needed.
  • Assist Purchasing Department with Vehicle/Equipment Purchases including:
    • Registration of units
    • Provide copies of all new vehicle/equipment purchases for insurance.
    • Filing of new unit information.
    • Assist in the Emergency Coordination Centre (ECC) during emergency situations, under the direction of the Director of Emergency Management (DEM).
  • Backup to the Capital Projects Coordinator.
  • Perform other related duties as required.

  • Ability to handle a complex and varied workload in a flexible manner, often under conflicting timelines.
  • Ability to work independently, exercise good judgment and effectively handle conflicting priorities.
  • Ability to solve problems and apply conflict resolution strategies.
  • Able to work flexible hours.
  • Ability to conduct sound research.
  • Ability to apply strong analytical skills.
  • High degree of integrity, diplomacy, discretion, and confidentiality.
  • Ability to communicate effectively with the public and fellow staff members.
  • The ability to work with minimum supervision.

Education & Experience

  • Grade 12 or equivalency.
  • Two (2) years’ administrative experience.
  • Recognized Administration Assistant course is an asset.
  • Minute taking experience is an asset.
  • High level computer skills including word processing, basic spreadsheets, internet access and electronic communication; an understanding of computer security and the ability to use programs such as Microsoft Word, Excel, Power Point and Publisher.
  • Commissioner of Oath’s.
  • Experience in basic records management protocols.
  • Experience in basic Freedom of Information Protection of Privacy Protocols.
  • Clean valid driver’s license and Drivers Abstract.
  • Provide a Criminal Records Check.

Working Conditions & Physical Environment

  • Extensive use of computers and telephone.
  • Long periods of sitting, good lighting, temperature, and noise control.
  • Medium physical effort; occasional light-moderate lifting.
  • Use and operation of a vehicle.
  • Regular working day consists of 7.25 hours.
  • Some travel may be required.

Compensation

Big Lakes County offers an excellent benefits package with a competitive salary.

Hours of Work

Monday-Friday 7.25/day.
