We are currently seeking a Part- Time Human Resources Associate to join our HR team. This role is key in supporting immigration and work authorization processes, employee benefits administration, and disability claims and leaves support.
Part-Time, Permanent
Human Resources Associate
24 hours/week
Waterloo, Ontario
The Part-Time Human Resources Associate provides essential administrative support to the Human Resources Department, including the Director of Recruitment and Retention and HR Business Partners. This role supports key HR functions such as immigration employee support, tracking work‑permit processes, benefits administration, disability claims coordination, and accurate maintenance of employee records within the HRIS and external vendor platforms.
Key initiatives include:
Immigration & Eligibility to Work Support

Monitor updates from Immigration, Refugees and Citizenship Canada (IRCC) and report changes impacting organizational practices.

Manage the immigration email inbox and respond to employee and supervisor inquiries.

Prepare and update templated immigration responses.
-
Provide information on immigration streams supported by Karis.

Review employee-submitted documents for eligibility and upload work permit documentation into HRIS.

Complete government forms and obtain necessary signatures from authorized leaders.

Track intake periods and submit applications through community and provincial immigration portals.

Maintain electronic filing systems and prepare quarterly immigration reports.

Provide guidance on maintained status and required leave processes.
-
Escalate complex immigration or work‑permit concerns to the Director of Recruitment and Retention.
Employee Benefits Administration
-
Support employees and leaders with extended health and retirement benefit inquiries.
-
Maintain accurate employee benefit enrollment and eligibility records.
-
Audit benefit information, billing, and provider data; prepare reports and identify discrepancies.

Collaborate with benefits providers to resolve claims, enrollment, and access issues.
-
Audit HRIS data biweekly to ensure accurate plans, deductions, and eligibility.

Review leave documentation for accuracy and compliance.
-
Maintain benefit email templates and provide timely communication to employees.
Disability Claims & Leave Support

Provide information to employees and leaders on disability management.
-
Ensure accurate posting of medical leave and accommodation information in HRIS and internal resources.
-
Coordinate and monitor STD, LTD, IAW, and accommodation claims with adjudicators.
-
Submit initial claim documentation and ensure all materials are accurate and complete.

Audit payroll reports for leave‑related status changes and notify payroll accordingly.

Act as a liaison between employees and adjudicators to support communication and claim navigation.

Provide temporary coverage for Abilities Team members as needed.
Education and Experience:

1 year of previous HR administrative experience
-
College diploma in Human Resource Management
-
CHRP designation (or working toward it) preferred
-
Experience with HRIS and database systems.

Strong attention to detail and accuracy.

Excellent verbal and written communication skills.
-
Understanding of Employment Standards Legislation.

Strong organizational and time management abilities.

Collaborative, respectful, and capable of working in a dynamic environment.
