***This position is an 18+ month contract for a Leasing Coordinator based out of our Calgary offices***

About the role:

As a Leasing Coordinator within our REMS team, you'll play a pivotal role in supporting the leasing team through administrative, marketing, and reporting functions for office, industrial and retail properties across the Calgary portfolio. This position ensures accurate, timely communication of leasing information, supports property marketing efforts, and provides essential support during budgeting and deal management processes. This is an opportunity to leverage your expertise to help us lead our industry into the future.

Lease Administration

  • Track progress of leasing deals, ensuring accuracy of records and timely updates in internal systems.
  • Enter and update transaction details in systems such as VTS and Yardi to maintain accurate deal pipelines.
  • Ensure broker commissions are processed, tracked and reconciled
  • Support the preparation of presentations, proposals and packages for both internal and external use as needed

Marketing Support

  • Prepare and distribute the monthly leasing vacancy report
  • Maintain and update leasing brochures using InDesign and keep property listings current on the company website
  • Maintain the accuracy of marketing materials and coordinate occasional campaigns through Mailchimp
  • Work with property managers to arrange leasing signage as needed

Reporting & Documentation

  • Provide leasing representatives with essential information (i.e. renewal options, option to terminate, and double check lease expiry dates) for quarterly reporting.
  • Input leasing assumptions into Yardi, prepare budget reports, and ensure the accuracy of all leasing-related data

What you’ll bring

  • Minimum of 1-2 years of experience in a similar role (commercial real estate preferred)
  • Proficient with lease documents and related documents
  • Excellent verbal and written communication skills
  • Proactive and highly organized with the ability to prioritize multiple tasks; must be able to work independently as well as take direction from team members.
  • Accuracy and attention to detail are critical.
  • Able to identify team and client needs and commit to responding to them in agreed-upon timeframes
  • Ability to work well in a team environment and has a positive outlook and attitude
  • Excellent grammatical and writing skills
  • Proficient in Word, Excel, Outlook and Adobe InDesign
  • Experience with Yardi, VTS, or similar is an asset
  • Ability to handle sensitive information with discretion and professionalism
