Reporting to the Manager of Financial Assistance, the Financial Assistance Support Officer provides essential technical, business, and operational support. This role focuses on planning, evaluating, and enhancing Financial Assistance services and systems, including the Banner Student Aid system and other College initiatives.
The Financial Assistance Support Officer is responsible for managing and supporting various financial assistance programs, with an emphasis on delivering high-quality service across several Financial Assistance areas. This role involves overseeing all Financial Assistance bursary programs and applications, ensuring compliance with Ministry of Colleges and Universities (MCU) regulations and the Freedom of Information and Protection of Privacy Act. Key responsibilities include reviewing award applications, letters, and reports, maintaining detailed records, supporting OSAP processing (especially for part-time and micro-credential applications), and managing financial aid records.
The position also involves administering Scholarship and Bursary funding, and collaborating with the Mohawk College Foundation, College departments, and external donors. The incumbent ensures timely fund distribution, assists students with funding processes, and promotes the College to prospective students and donors. Familiarity with Ministry OSAP, internal College systems (Banner, Millennium, Cognos), and other financial assistance supports is essential.
What you’ll be doing:
Financial Assistance – Banner and OSAP
- Working as a team member supporting Financial Assistance and Awards staff with processing documentation and providing backup support; Assessing various financial assistance applications for eligibility, accuracy, completeness, and entitlement following the Ontario Ministry of Colleges and Universities policies and procedures for several major government financial assistance programs including IFSB (Institution-Funded Special Bursary), OBPAP (Ontario Bridging Participant Assistance Program), and OSAP (Ontario Student Assistance Program) applications with specific attention to part-time and Micro-Credential OSAP applications.
- Assisting Financial Assistance with data entry and distributing financial assistance to students.
- Responding to in-person, telephone, and e-mail requests for information regarding student financial aid, OSAP, and other provincial government aid programs, bursaries, scholarships, and awards.
- Supporting the development of seamless integration of OSAP data and information from the Ministry website to Banner.
- Ensures efficiency in developing and maintaining a calendar of business cycle events to ensure all activities including, but not limited to, set-ups, from the Ministry website to Banner.
- Responding to inquiries from staff and students regarding student account payments as required.
Full Administration of CE Bursaries, Part-time and Micro-credentials OSAP Applications
- Assisting students by offering advice on financial aid opportunities such as full and part-time, micro-credential OSAP programs, and Mohawk College bursary, scholarships, and work-study programs.
- Monitor, review, and process part-time and micro-credential OSAP applications in accordance with Ministry and Mohawk College policies.
- Prepare and manage all aspects of the online web application.
- Download and prepare Drupal Download for student submission review.
- Utilize college systems, including BSA and Banner extract to verify students’ information.
- Determine and select recipients according to Ministry and donor guidelines and intentions.
- Utilize college systems including BSA and Banner to verify student information including GPAs, registration, and financial and personal student information.
- Develop and continue to update Ministry guidelines and information processes for reviewing applications for selection purposes.
- Using target distribution guidelines distribute funds equitably over the academic year.
- Collecting and uploading Bursary applications into Banner Document Management (BDM) for archiving.
- Organizing and promoting the applications, resources, and information available to students in peak application periods.
- Preparing requested reporting for Departmental, College, and Ministry requirements.
Supports the Collection and Evaluation of FT Awards Reviews and Disbursements
- Provide guidelines and rubrics to assist the Awards Officer in assessing applications fairly and consistently.
- Maintain and update awards workbooks with details of awards applicants and rationale for denying or approving a student.
- Communicate with students/applicants on the application process, required document submissions, and funding processing.
- Provide one-on-one counselling and guidance to students regarding application processes and completion of applications.
- Provide online and email status updates to students including informing successful and unsuccessful applicants.
- Create and support awards packages for auditing and tracking purposes as required.
Reports and Statistics
- Create, update, and maintain accurate student data of all applicants and status for the purpose of collecting statistics and organizing data.
- Suggest and incorporate procedures to allow for consistent and available reporting.
- Provide statistical reports as requested, including the number of applications received, funding distributed, and criteria used to distribute funds.
- Assist with MCU reporting, including First Generation, Indigenous Student Bursary, and alternate reporting requirements as needed.
- Monitor and issue all MCU funding within Ministry guidelines.
- Track, confirm, and provide to Finance all OSOTF, OTSS, Endowment, and Annual distribution for Ministry reporting.
- Confirm and reconcile all distributions of funding quarterly utilizing the college’s financial system, Fast Suite, and Cognos.
- Complete quarterly reconciliations between the funding distribution and the general ledger.
- Prepare and confirm all student disbursements using Banner and Banner Student Aid (BSA) to ensure accuracy in issuing and refunding financial assistance for students.
- Utilize Banner to review student accounts to ensure that tuition and/or outstanding fees and Holds are addressed in processing.
- Collection of Student Social Insurance Numbers and work with AR Accounting to ensure that all issued funding is confirmed for CRA guidelines for T4A issue.
- Determine and distribute available funding according to fiscal budget with a target processing to issue by fiscal year-end.
Workflow and administration of Tuition Set Aside (TSA) funding and Ministry bursaries each semester
- Updates the Bursary Recording System (BRS) with actuals for students receiving OSAP, after validating the information with the general ledger.
- Reviews and processes bursary applications/budgets (i.e. tuition assistance, etc.); processes Accounts Receivable vouchers for qualifying students; notifies appropriate staff of non-qualifying students; records students in the Financial Assistance database and the Bursary Recording System; and advises Manager on spending status to ensure timely requests for additional funding from the Ministry.
- Reviews and tracks Institutional Funded Special Bursary (IFSB) receipts and reports on discrepancies.

What you’ll bring to the role:
- A minimum of three-year post-secondary education in General Business, Business Accounting, Office Administration or related field.
- Minimum 3 years of experience in business or office management, preferably in an educational institution.
- Experience with scholarships and financial assistance is an asset.
- Ability to work both independently and collaboratively with students, faculty, staff, and community.
- Strong accounting skills and proficiency with Excel and computer technology.
- Proven ability to multi-task and meet deadlines in a high-volume, fast-paced environment.
- Excellent organizational, time management, interpersonal, customer service, problem-solving, and communication skills.
- Experience working with software applications, databases, and integrated information systems like Banner, Microsoft Office, and Access.
- Experience with project management and Ministry systems (Students with Disabilities Database, Bursary Reporting System, OSAP System) is required at the point of hire.
- The incumbent must have proven technical skills with computer applications and high proficiency in MS Access and MS Excel computer software programs. Experience with interrogating databases is key.
- In-depth knowledge of post-secondary systems is necessary. Knowledge of Banner forms and tables is an asset.
