TEMPORARY ABSENCE, DISPATCH AND TIME (ADT) ASSISTANT Position Start Date: Immediately to December 19, 2025 (or return of incumbent)

Training and experience with customer service, strong communication skills, ability to problem solve and work independently in a fast-paced environment. During school term periods, this position starts at 6:00 am and is subject to a $1.05 shift differential from 6:00 am to 8:00 am.

THE ROLE This is computer operational and clerical work of moderate variety and complexity involving the use of a computer, peripheral equipment and HRIS (Human Resources Information Software) software to prepare and maintain employee/payroll records. This position requires effective organizational and interpersonal skills with responsibility for the assignment, within strict time limits, of replacement employees, and for clerical duties associated with initial employment, placement and processing data for payroll. After detailed initial instructions are received, standard procedures are followed with unusual or difficult problems referred to a supervisor. The ADT Assistant exercises courtesy and discretion in contacting and assigning replacement workers and in supplying specialized information and assistance to staff. Work performance is evaluated by a supervisor based on the quality and completeness of the placement process and in terms of accuracy and conformance with established procedures and practices.

Knowledge and experience with the Collective Agreement and Atrieve software to support the following functions such as absence entry and dispatching of custodial staff. Also, system boarding of new casuals with respect to ADT, coordination of post and fill process for casual and permanent custodial staff, vacation scheduling, planning and reporting data for forecasting, customer service, strong communication skills, ability to problem solve and work independently in a fast-paced environment is desired. This position starts at 6:00 am and is subject to a $1.05 shift differential from 6:00 am to 8:00 am.

Required Knowledge, Abilities And Skills

  • Considerable knowledge of computer operation and software applications as related to the work.
  • Considerable knowledge of employee absence and on-call employee requirements.
  • Sound knowledge of the Collective Agreement procedures governing the placement of on-call employees and payroll requirements.
  • Working knowledge of the locations of all schools in the school district.
  • Ability to operate computer and software applications to prepare, maintain and produce a variety of materials in accordance with payroll and departmental procedures.
  • Ability to deal effectively and maintain effective relationships with on-call employees in supplying information and assistance related to departmental operations.
  • Ability to perform clerical tasks of some variety and to adhere to prescribed routine.
  • Ability to work within strict time limits in the placement of on-call employees.
  • Skill in computer data entry, sorting, checking and maintaining records.
  • Superior clerical aptitude and interpersonal skills.

Desirable Training And Experience Completion of the 12th grade or equivalent, supplemented by up to four months post-secondary training in computer and software applications, and business subjects. Two years related experience in a school or general office and telephone communication work or an equivalent combination of training and experience.

This is a unionized position, and the current rate of pay is $32.49/ hour.
