The Real Estate Office Coordinator for Yonge City Square condominium project serves as the central point of contact in the sales office, ensuring smooth day-to-day operations, providing administrative support to the sales team, and delivering exceptional service to prospective purchasers. This role involves managing client interactions, processing agreements, maintaining marketing materials, and ensuring the sales office is a polished and welcoming environment that reflects the project’s brand.
Key Responsibilities
1. Sales Office Administration & Client Relations
- Greet and register prospective buyers and real estate agents visiting the sales office or presentation center.
- Manage daily opening/closing procedures for the sales office and ensure a professional, clean, and welcoming environment.
- Answer phone calls, respond to inquiries, and direct clients to appropriate sales representatives.
- Schedule and confirm buyer appointments, VIP previews, and special events.
- Maintain office supplies, refreshments, and marketing collateral.
2. Agreement Processing & Documentation
- Prepare and process Agreements of Purchase and Sale (APS), amendments, assignments, and related documents.
- Ensure all purchaser information is accurately captured in the CRM system.
- Coordinate with lawyers, sales managers, and head office to ensure timely execution and distribution of contracts.
- Track purchaser deposits, issue receipts, and liaise with the accounting department regarding payment schedules.
- Maintain organized files (both physical and electronic) for compliance and audit purposes.
3. Marketing & Presentation Support
- Maintain up-to-date price lists, floor plans, availability charts, and promotional materials.
- Coordinate with marketing teams to update project websites, social media, and email campaigns.
- Prepare buyer packages, feature sheets, and event invitations.
- Assist in organizing launch events, broker previews, and purchaser appreciation events.
4. Purchaser Communications
- Respond to purchaser inquiries regarding floor plans, pricing, payment schedules, and closing timelines.
- Provide buyers with relevant project updates, construction progress photos, and milestone notices.
- Coordinate purchaser selections and upgrades appointments with the décor/finishes team.
5. Sales & Reporting Support
- Maintain and update CRM systems with leads, appointments, and sales status.
- Generate regular sales reports for management, including inventory updates and traffic counts.
- Assist sales representatives with appointment scheduling, follow-ups, and buyer documentation.
6. Compliance & Project Coordination
- Ensure sales processes comply with Tarion Warranty Corporation requirements, real estate board regulations, and project-specific legal terms.
- Support management in preparing compliance checklists for agreements.
- Coordinate with the construction and customer care teams to ensure a smooth transition from sales to occupancy.
7. Financial Tracking & Deposit Administration
- Log and track all deposits and post-dated cheques.
- Prepare deposit summaries for accounting and management review.
- Follow up on overdue payments and coordinate with purchasers or their agents.
8. Special Projects & Developer Support
- Assist in coordinating project launches, media events, and marketing campaigns.
- Liaise with advertising agencies, signage vendors, and staging companies.
- Support management with research, competitor analysis, and market updates.
- Additional duties as assigned related to YCS sales functions
Qualifications:
- Bachelor’s degree or equivalent experience in a related field.
- Minimum of 5 years of experience in a similar role.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Discretion and ability to handle confidential information.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and as part of a team.
Skills & Competencies:
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Strong proficiency with Microsoft Office, CRM software, and real estate transaction platforms.
