We’re growing — and we’re looking for an exceptional Administrative Assistant to support our Chief Administrative Officer (CAO) and help streamline business operations with poise, professionalism, and precision.
The Role: Administrative Assistant to CAO (with HR Support)
You’re not just an assistant — you’re the right hand to our CAO. You thrive in fast-paced environments, have a keen eye for detail, and possess the organizational prowess to keep multiple priorities on track. If you love making things run like clockwork and enjoy the human side of HR operations, this is your opportunity to shine.
Key Responsibilities:
- Proactively manage and optimize the CAO’s calendar, meetings, and travel arrangements
- Anticipate needs, stay a step ahead, and adapt plans as priorities shift
- Organize and lead internal events and executive team initiatives
- Assist in HR processes, including onboarding and offboarding — ensuring a smooth and professional employee experience
- Prepare agendas, briefing documents, and follow-ups for key meetings
- Create and maintain checklists, org charts, process flowcharts, and other business-critical documentation
- Support financial admin tasks, including monthly Visa reconciliation
- Liaise on behalf of the CAO with internal and external stakeholders, handling sensitive communication with discretion
- Coordinate travel arrangements (flights, hotels, transportation), when needed
- Jump in on cross-functional projects or provide support to other Executives as required

What You Bring to the Table
- 3+ years as an Administrative Assistant, supporting C-level executives
- Strong experience in project coordination, HR processes, and calendar management
- Tech-savvy: proficient in MS Office, Google Workspace, DocuSign, Visio, Trello, SharePoint, HRIS systems (e.g., Collage), and YouTrack
- Exceptional written and verbal communication skills
- Impeccable attention to detail and time management
- Unflappable under pressure and able to handle confidential matters with integrity
- A proactive, can-do mindset — you're always one step ahead
- Bonus: Experience in project management or PMP certification

With over 10,000 customers and growing, OWE has cemented its reputation as the premiere choice for our 100% Load Following Natural Gas and Electricity products at extremely competitive prices. With a combined 50+ years of industry experience, the Executive Management Team is able to keep the operation highly automated and very lean, which allows OWE to keep margin requirements extremely low. OWE's major energy trading partner is Shell Energy North America. In meeting with our licensed representative you will be able to discuss the current and forecasted Supply and Demand energy challenges while exploring product options that will help you maintain stability in our company's cash flow.
