Position overview

Are you an experienced document management professional with strong technical writing skills and a drive to make things work better? If you’re looking to apply your expertise in a fast‑moving operational environment, this could be a great fit.

We’re hiring permanent, full‑time Documentation and Control Specialists to join our Business Resilience team. Reporting to the Manager, Business Resilience, you’ll play a key role in strengthening the quality, consistency, and usability of our documents. Your work will help streamline how information is created, stored, accessed, and shared across the organization.

In this role, you’ll support the full document lifecycle—ensuring materials such as plans, policies, directives, manuals, and standard operating procedures are clearly written, properly reviewed, consistently updated, securely managed, and easy for authorized teams to find and use. Your expertise in technical writing and Document Management Systems will directly contribute to improved efficiency, compliance, and operational effectiveness.

Key responsibilities include:

  • Lead and support the design and maintenance of a document management system with fast search and retrieval functions, version control to track revisions and approvals, integrated workflow automation, real-time access for operational needs, role-based access controls and document protection measures, robust audit trails, and disaster recovery and backup mechanisms.
  • Identify key document types, regulatory and compliance needs, and establish document retention policies for audit and legal requirements for the Airport Operations Document Management System (DMS).
  • Conduct user training on the DMS through the development of manuals, training materials, and user-friendly interfaces and best practices to encourage adoption of new procedures.
  • Perform regular system maintenance and continuous improvement through monitoring performance, gathering feedback, and exploring the adoption of AI optimization.
  • Collaborate with key stakeholders and operational teams to align processes and deliver system implementation and continuous improvement initiatives
  • Create and edit documentation to ensure clarity, accuracy, consistency, and usability for the intended audience.

Key qualifications include:

  • At least 4 years of experience in document management and control, document writing, or technical writing, supplemented by a post-secondary degree in Business Administration, Operations Management, English, Technical Writing, Communications or a related field; or an equivalent combination of industry training, experience and education; Document Management Certified Professional (DMCP) or equivalent is preferred
  • Demonstrated experience in document management and control, including document lifecycle management and version control, along with proven experience with DMS software, encompassing metadata tagging, indexing, document retrieval techniques, security, and access control
  • Proficient in technical writing and editing, with demonstrated ability to develop templates and standardize document structures for improved readability, clarity, consistency, and accuracy; complemented by strong attention to detail, analytical thinking, organizational abilities, and effective problem-solving skills.
  • Proficient in MS Office applications as well as SharePoint, Visio, Adobe Acrobat and DocuSign, document workflow and automation tools, and database management, with strong verbal communication skills and proven ability to develop and deliver presentations and training workshops.
  • Experience in conducting document system audits, monitoring and enforcing document control policies, and managing corrective actions based on audit findings, as well as a proven ability to implement process improvements and lead and support staff in change management initiatives.
  • Ability to stay up-to-date on regulations and technologies in document management and control, including the adoption of AI for optimization, ensuring the continuous improvement of document management practices.

Although not required, French language skills are an asset as we are committed to providing bilingual services to our visitors and passengers. Salary Range :$71,560 to $93,525 per annum, based on a 37.5-hour work week. This is individually tailored to reflect your unique experience, qualifications and internal equity.
