About the role

Production Coordinator, University Relations

Primary Purpose: The Media Production Coordinator manages media production services such as audio and video requirements for conferences, events, press conferences, studio events, audio and video recordings and live streaming from first client contact to successful completion of the production by meeting the agreed to vision, timelines, budget and deliverables as required by the client. The Coordinator works with the Technical Supervisor and unit Director to assess requirements and coordinate project and staff scheduling as well as equipment requirements.

Nature of Work: Reporting to the Director, Media Production, the Coordinator works in close collaboration with the Technical Supervisor, media technicians and campus community. This position manages, coordinates and monitors project development, budget, progress and schedule. The Coordinator liaises between the client and the technical team to ensure details are communicated, work is completed to instruction and delivered in an efficient and timely manner. There is a heavy workload, competing demands and diverse projects. The incumbent must work effectively amidst an ever-changing landscape of new and emerging technologies. Discretion is required as this position is privy to sensitive and confidential information, errors can significantly impact the reputation of the unit and the university. Overtime and weekend work may occasionally be required.

Typical Duties or Accountabilities

Ensure projects are completed to the satisfaction of the client and to a high standard of quality. Develop and maintain excellent customer-centric relationships with clients (instructors, researchers, administrative units and other members of the university community) through informed consultation, guidance and assistance throughout the project. Successfully manage production service projects (events, conferences, audio and video recordings, press conferences, town halls, studio bookings and live streams) from initiation to completion. Demonstrate a high level of financial accountability in budget creation, cost control and timely delivery. Prepare billing and final cost reporting of projects to ensure positive financial performance and transparency as required. Collaborate on the development, implementation and updating of project workflows, processes and documentation to ensure the team is informed and following standardized procedures. Champion best practices by researching and providing assessments to improve the efficiency and quality of the service development cycle. Pursue professional development opportunities to enhance personal and professional growth. Other duties as assigned.

Education: A degree or certificate relevant to the position requirements or equivalent combination of education and experience. A certificate in project management would be an asset.

Experience: 1-3 years experience in successful project management. Experience in a post-secondary and/or media production setting would be an asset.

Skills: The incumbent will have demonstrated knowledge and skill in project management best practices; proven ability to lead and motivate project teams to produce high quality media projects; demonstrated superior interpersonal and communication ability; demonstrated client service orientation; proven ability to work collaboratively in a team-based environment; demonstrated analytical, problem-solving and organizational skills; detail oriented; aptitude for learning new technologies; ability to maintain strong working relationships; aptitude for sound judgement and tact; demonstrated professional maturity and decisiveness; ability to multi-task, prioritize and meet deadlines in a fast-paced environment; energetic, highly motivated and self-directed. Working experience with media (video and audio) production an asset.

Status: Term 12 months with the possibility of extension Employment Group: ASPA Full Time Equivalent (FTE): 1.0 Salary: The salary range, based on 1.0 FTE, is $53,091.00 - 82,954.00 per annum. The starting salary will be commensurate with education and experience.
