Primary function

This position is responsible for supporting the mandate of the Eastern District. The Support Worker works with their manager and other staff to provide direct client services and administrative supports in a district office environment. The Support Worker will assist with referring clients to appropriate services and resources and supporting the administrative functions of the office. This could include client triage, financial testing, referrals and other duties as assigned.

Key accountabilities

  • Greet and welcome clients and visitors in a friendly and professional manner
  • Reception duties including answering of telephone calls and providing information to clients and lawyers on the phone and/or in person regarding legal aid processes and/or the status of their file.
  • Assisting clients in accepting, scanning and uploading any documents required for their files.
  • Scan consent and declaration forms and attach to client file in the PeopleSoft system.
  • Check fax drives and general email boxes and triage all incoming documents appropriately.
  • Scan and attach correspondence to existing client files in PeopleSoft and triage to the appropriate department.
  • Fax correspondences to counsel and clients if required.
  • Responsible for ordering of any office supplies.
  • Responsible for contacting the property manager when maintenance requests are required for the office.
  • Handle all incoming and outgoing Purolator shipments
  • Identify and elevate issues/service trends and seek guidance from management when necessary
  • Perform administrative tasks such as data input, maintaining digital files, scheduling, collecting/compiling information and capturing statistics/performance measures
  • Additional duties as outlined by Manager

Required skills & experience

  • Ability to communicate with accuracy and fluency in both French and English is required

  • Experience in an office environment and proven ability to deal effectively with clients on the phone and in-person

  • Sound organizational skills to ensure the accuracy of information and to maintain control of a variety administrative of tasks

  • Intermediate level skill in Microsoft Word and Excel and the ability to enter and retrieve information in a client service computer application (Peoplesoft)

  • Accurate typing skills and the ability to work with minimal supervision

  • The ability to multi-task and to work well under pressure

  • Excellent communication and interpersonal skills for dealing with clients, lawyers and other agencies with the proven ability to exercise judgment when encountering stressful situations including the early identification of vulnerable clients so that the appropriate service and referrals can be made

  • Ability to learn and maintain detailed functional and theoretical knowledge of legal aid application processing rules and procedures, financial principles and LAO policies and practices

  • Proven ability to learn and adapt to new or modified policies and procedures

  • Demonstrated commitment to client service and relationship building skills

  • General knowledge and familiarity with criminal court and family court procedures is an asset.

  • General knowledge of community based services available to clients

● Providing consistently high quality legal aid services in a cost-effective and efficient manner;

● Encouraging and facilitating flexibility and innovation in the provision of legal aid services;

Our services

LAO services are carefully targeted to meet diverse client needs and make the most efficient use of our resources.

A wide range of services are available through LAO’s toll-free number, including summary legal advice for family and criminal law matters.

We provide duty counsel services - performed by staff and private-sector lawyers - for people who arrive in criminal, family or youth courts without a lawyer.

Poverty law services - such as helping people to obtain or maintain social assistance benefits - are delivered through a network of a number of independent, community-based legal aid clinics, funded by LAO.

LAO also runs a certificate program for the most serious and complex cases. Eligible low-income clients can obtain a certificate which is used to retain a private lawyer.
