RAM is searching for a motivated and experienced individual in Vancouver, BC. Key Responsibilities
Inspection Coordination
- Support the Inspections Lead in managing assigned inspection programs, including planning, scheduling, execution, and reporting.
- Schedule inspections in accordance with client requirements and assign qualified inspectors.
- Coordinate site access requirements, including orientations, pre-access documentation, and onboarding prerequisites.
- Ensure inspection assignments are completed on time and daily inspection reports and JHAs are submitted as required.
Document Control & Compliance
- Track and manage inspection requests within RAM’s systems and communicate assignment changes in a timely manner.
- Maintain and regularly review client-facing inspector directories and logs to ensure accuracy.
Invoicing & Timekeeping Support
- Support invoicing preparation through review of inspection hours, mileage, and backup documentation.
- Support internal follow-ups related to late or missing timecards to meet reporting deadlines.
Inspector Onboarding, Offboarding & Support
- Coordinate inspector onboarding and offboarding activities, including submission and completion of onboarding, offboarding, and training requests.
- Train and mentor inspectors on RAM’s inspection processes, digital reporting tools, and client-specific requirements.
Client & Vendor Coordination
- Provide coordination support for client inspection programs, including site coverage planning, day-to-day issue resolution, file management, and monthly reporting workflows.
Process Improvement
- Support the development, review, and refinement of internal procedures, templates, and client-specific documentation.
- Assist with administrative coordination related to purchase orders and evolving project requirements.
Ideal Candidate Requirements
- High school diploma or equivalent
- 1+ years of experience in a similar administrative role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Project).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Basic understanding of project management principles and methodologies.
- Ability to work collaboratively in a team environment.
- Basic understanding of project documentation, including reports, calculations, and technical documentation.
