Role Overview

ThePlacement Coordinator - Rehabis responsible for matching current rehabilitation vacancies with qualified therapists and therapy assistants, and for proactively sourcing new talent in partnership with the Talent Sourcing/Recruitment team. The role ensures timely, high quality staffing coverage across physiotherapy, occupational therapy, speech language therapy, and related services while maintaining strong relationships with contractors, internal teams, and external partners.

Role Responsibilities

  • Review incoming staffing requests and vacancies from hospitals and Health Regions (Physiotherapy, Occupational Therapy, Respiratory Therapy, and other related disciplines), confirming details such as hours, service needs, location, and contract terms.

  • Match open roles with appropriate individuals based on skills, experience, credentials, availability, and geographic preferences.

  • Work closely with Talent Sourcing/Recruitment to identify hard‑to‑fill roles, prioritize requisitions, and develop targeted sourcing strategies.

  • Maintain an up‑to‑date pool and database of contractors and candidates, including licensure status, onboarding status, competencies, and placement history.

  • Coordinate the end‑to‑end placement process: candidate submission, interview scheduling, offer/contract confirmation, start‑date coordination, and hand‑off to operations.

  • Communicate regularly with hiring managers and clinical leaders to clarify requirements, gather feedback on candidates, and adjust matching strategies.

  • Build and sustain relationships with contractors by providing timely updates, managing expectations around assignments, and addressing placement‑related issues.

  • Track and report placement metrics (time‑to‑fill, vacancy aging, fill‑rate, contractor utilization) and provide insights for continuous improvement.

  • Ensure all placements comply with regulatory, credentialing, and organizational policies (licenses, registrations, background checks, insurance, training, etc.).

  • Collaborate with Talent Sourcing on outreach campaigns (job boards, professional associations, universities, social media, referrals) to build pipelines of Physiotherapists, Occupational Therapists, Respiratory Therapists, and other related professionals.

  • Support contract renewals, assignment extensions, and transition planning when contracts end or service needs change.

  • Participate in process improvement initiatives to streamline coordination, documentation, and communication workflows.

Required Skills and Qualifications

  • Ideal Candidate will have experience in Rehabilitation Services (Physio, OT, RT, or other related profession), or a related field; equivalent experience may be considered.

  • Understanding of rehabilitation services and disciplines (Physio, OT, RT, and other related roles), or willingness to quickly learn discipline‑specific requirements.

  • Experience in recruitment, staffing, scheduling, or coordination within healthcare, rehabilitation, or community services is strongly preferred.

  • Strong organizational and time‑management skills, with the ability to manage a high volume of vacancies and competing priorities.

  • Excellentcommunicationand interpersonal skills, with a customer‑service mindset toward both internal stakeholders and contractors.

  • Proficiency with applicant tracking systems, scheduling/HRIS tools, and standard office software (e.g., Excel, Word, Outlook).

  • High attention to detail and accuracy in documentation, contracts, and credential tracking.

  • Ability to work both independently and collaboratively in a fast‑paced, dynamic environment.

Location

  • Remote, home-based

  • Some travel may be required for conferences, meetings, and other business-related activities.

Compensation

  • Salary Range: $75,000-$85,000 per annum.
