About this opportunity
FOCUS Assessments looking for a candidate who is a quick learner and highly organized, with excellent computer skills, to work as an Administrative Assistant supporting our Intake and Scheduling teams at our Waterloo clinic.
This is a full-time position reporting to the Manager of Operations.

Answering incoming calls and direct queries to appropriate party

Greeting Clients and Guests and Checking In

Chaperoning assessments
-
Data Entry of Referral into Referral Management Software

Provide appointment details (Appointment Letters and Notices) to referral source within Service Level Agreement expectations

Appointment Attendance Confirmation
-
Follow up on Consent Forms and any other documents
-
Support for same day of issues, cancellations and no shows including direct reschedules
-
Assist with Appointment Reminder Calls
-
Other administrative support, as required
What you need to be successful
- Computer Proficiency – MS Office 365, MS Excel and MS Word, and Adobe Acrobat/Reader
- Excellent telephone manner, ability to communicate in English by phone and email
- Strong organizational and prioritizing skills and effective time management skills required
- Ability to learn quickly in a fast-paced environment with minimal supervision
- Accuracy and attention to detail in tasks
- Knowledge of the rehabilitation and independent medical sector an asset, but not required
