About the role

The Role

We are looking for a proactive and motivated Project Coordinator to support internal business improvement and operational projects across the organization.

This role is ideal for someone early in their project management career who is organized, confident, and comfortable taking ownership of execution while collaborating with cross-functional teams. Working closely with the Project Manager, you'll coordinate meetings, track project progress, document business requirements, and help ensure projects move forward efficiently.

This role is best suited to someone with strong business acumen who enjoys improving how organizations operate. While many of the projects will involve technology, your focus will be on understanding business processes, coordinating stakeholders, improving operational efficiency, and ensuring projects deliver measurable business outcomes—not on software development or technical implementation.

You'll play a key role in keeping stakeholders aligned, maintaining accountability, and transforming ideas into structured plans and successful project outcomes.

Key Responsibilities

Project Coordination Coordinate internal business improvement and operational projects from initiation through implementation. Schedule and facilitate project meetings, workshops, and stakeholder discussions. Prepare meeting agendas, capture meeting minutes, and track action items. Proactively follow up with stakeholders to ensure deliverables remain on track and project timelines are met. Help maintain accountability across teams by clearly tracking ownership, milestones, and next steps. Monitor project progress and escalate risks, blockers, or timeline concerns to the Project Manager.

Business Analysis & Planning

Work with stakeholders to understand business processes, operational challenges, and project objectives. Gather business requirements and translate them into user stories, process maps, workflows, and structured documentation. Help identify opportunities to improve efficiency, reduce manual work, and optimize business processes. Bring structure to ambiguous problems by organizing information, identifying priorities, and developing clear project plans and deliverables. Support business case development, project planning, and implementation activities where required.

Project Administration

Maintain project plans, timelines, backlogs, status reports, and documentation using tools such as Jira, Asana, or similar platforms. Support user acceptance testing (UAT), implementation activities, training coordination, and post-launch follow-up. Assist with process documentation and continuous improvement initiatives. Prepare project updates and communicate progress, risks, and key decisions to stakeholders.

Collaboration

Work closely with stakeholders across Engineering, Operations, Manufacturing, Sales, Finance, HR, Marketing, and other business functions. Build strong relationships across the organization to keep projects moving forward and maintain stakeholder alignment. Support change management by helping teams successfully adopt new processes, systems, and ways of working.

You may support initiatives such as: Business process improvement initiatives AI implementation and adoption projects Workflow automation Internal software implementation projects SharePoint and document management solutions Production Release System enhancements SR&ED process improvements Operational reporting and business intelligence initiatives Cross-functional business transformation projects Qualifications Required Experience Minimum 2 years of experience in a Project Coordinator, Business Coordinator, Operations Coordinator, or similar project support role. Diploma or bachelor's degree in Business, Management, Project Management, or a related field. Strong business acumen with the ability to understand operational processes and translate business needs into structured project plans. Experience coordinating projects involving multiple stakeholders and cross-functional teams.

Technical Skills

Strong organizational, planning, and time management skills. Excellent written and verbal communication skills. Ability to manage multiple priorities while maintaining attention to detail. Confidence in coordinating stakeholders, following up on action items, and maintaining project accountability. Experience using project management tools such as Jira, Asana, Monday.com, or similar platforms. Proficiency with Microsoft 365 applications, including Excel, Word, PowerPoint, Teams, and Outlook.

Nice to Have

Experience with Microsoft SharePoint. Exposure to business transformation, operational improvement, or organizational change initiatives. Experience writing business requirements, process documentation, workflows, user stories, or standard operating procedures. Familiarity with Agile, Scrum, Lean, or continuous improvement methodologies. CAPM certification or Project Management Fundamentals training.

Salary: $70,000-$80,000 annually based on experience
