The Position
The Customer Account System Administrator supports and enhances the work of the Solid Waste & Recycling Department by administering technology solutions at TNRD solid waste management facilities. Reporting to the Operations Supervisor of Solid Waste & Recycling, this position oversees scale house and transfer station point of sale operations, including administering the scale and mobile software system, overseeing waste disposal fee processing and monthly account customer billing, resolving customer service issues, tracking and reporting waste and recycling data, coordinating weigh scale maintenance to ensure regulatory compliance, providing training to contractor staff on operational procedures and ensuring bylaw/policy compliance by contract staff/site users.
- Scale/Mobile Software System Administration
- Maintain and administer scale and mobile software and hardware systems, manage user access, and provide training to system users. Responsibilities include identifying and resolving software and hardware issues, offering user support and troubleshooting, overseeing the re-loadable eco-card program (including new account setup, customer top-up payments, and error corrections), and creating new customer accounts in the system.
- Daily Transaction Oversight & Data Integrity
- Monitor daily operations to ensure accurate data entry and perform daily financial reconciliation of transactions. This includes verifying that point-of-sale machines are functioning correctly and addressing technical issues as needed.
- Financial Coordination & Reporting
- Support monthly billing processes by importing external data into the system and collaborating with the Finance Department to issue accurate monthly customer account invoices within required deadlines. Responsibilities also include resolving billing issues and preparing financial reports for internal staff and external stakeholders as needed.
- Regulatory Compliance & Reporting
- Complete required regulatory and contract reporting and assist with bylaw enforcement data.
- Customer & Stakeholder Support
- Respond to customer inquiries and issues promptly and coordinate special disposal projects as required.
Job Requirements
Education & Experience
- Undergraduate degree or diploma in related field (applicants should specify how their education relates to the position)
- 3+ years experience in customer service, data analytics, account/cash flow reconciliation
- Experience is retail or business operations is an asset (i.e. related to above experience)
- Proven customer service background
- Proficient in Microsoft Excel, Word, Outlook, PowerPoint (or similar software)
- Strong troubleshooting skills for computers and electronic equipment
- Experience developing training materials, directly training staff or users on new systems/processes and giving feedback to correct issues as needed
- Experience directing or managing contractors
- Valid Class 5 driver’s licence

This position falls under the provisions of the Collective Agreement with the Canadian Union of Public Employees, Local 900. The placement of the Customer Account System Administrator is at Pay Grade 8, which is $2,772.99 to $3,207.89/biweekly or $72,097.74 to $83,405.14/annually (2025). This position requires a Criminal Record Check and a valid Class 5 BC Driver's License (must provide a clean Driver’s Abstract).
