The Research Operations Assistant provides administrative, logistical, and operational support to LHSCRI Research Operations Coordinators (ROC), Research Operations Associate and Research leadership. This role is responsible for supporting the maintenance of accurate timekeeping records, payroll-related documentation, and helping ensure timely submission and tracking of staff hours, overtime, and leaves. In addition to timekeeping, the Research Operations Assistant assists with general administrative duties including scheduling meetings, maintaining electronic shared filing systems, drafting communications, and preparing documents required for onboarding, compliance, and reporting. The role will be supportive of the research student registration process and the documentation related to Western Scientist employees. The position contributes to the overall efficiency of research operations by supporting coordination across teams, ensuring proper documentation flows, and facilitating communication between research staff and operational leadership.

Regular Full Time - 37.5 hours per week

Rate of Pay : $27.54-$34.42 per hour

Confirmation of hybrid work options available to you will be clarified upon hire and may be subject to change based on the duties required of your position. Successful candidates will be required to perform work within Ontario and must be available to work on location, as required.

Responsibilities:

  • Acts as a point of intake, evaluates against standard and makes recommendations to leader for registration of third party paid, student learners and volunteers within LHSCRI with system access, and monitoring on annual basis for renewals / withdrawals
  • Monitors and triages the Research Operations general email inbox and calendar
  • Maintains and verifies time entry records, tracking scheduled hours and overtime (OT), and flagging discrepancies or habitual patterns for follow-up
  • Compiles and prepares payroll documentation for submission to Finance or HR, ensuring that approvals, coding, and supporting records are completed in a timely and accurate manner
  • Provides information to Payroll on cost centre splits based on the percentage of time research staff spend on each principal investigator project.?
  • Creates and sends out weekly payroll reminder to LHSCRI staff
  • Directs research staff to Go2HR, Research Operations Coordinator (ROCs), investigator or Scientific Director to respond to HR queries as required?
  • Creates and processes EAFs in collaboration with ROC and Director
  • Completes SARF- Cerner Access requests
  • Liaises with Research Administration?s Health & Safety team and Quality Assurance & Education team as appropriate to ensure all required training is completed and documented
  • Advises investigators, when relevant, of LHSC?s renumeration policy and limited special payment categories and confirm LHSCRI?s adherence to this policy
  • Supports LHSCRI leaders, enabling access to all required research employee information
  • Support Scientific Director with documentation, tracking appointment term, and liaising with LHSC or Western HR where scientists are LHSC employees or LHSCRI provides funding to Western University for Western scientist employees
  • Shares salary and benefit costing information with Grants Development and Research Contracts teams to support investigator budgeting for research staff
  • Maintains employee files and research database
  • Supports Scientific Director with initial scientist registration and annual renewal cycle for LHSCRI scientist categories?
  • Supports the onboarding of Experiential Learners in collaboration with LHSC Student Affairs and the ROCs

Qualifications

  • High School diploma required
  • 2 year college diploma or certificate in Office Administration , Business or as acceptable to the hospital required
  • 1 year of recent related experience preferred
  • Strong verbal and written communications skills
  • Proficient problem solving and decision-making skills within the parameters of the role
  • Flexible and adaptable within a changing environment
  • Excellent organizational and time management skills
  • Proficiency using Microsoft 365
  • Self-directed with ability to work independently using above average levels of initiative and discretion
  • Previous experience working in a Research or healthcare support role preferred
