As the Business Systems Specialist, you will play a key role in managing and supporting Optima Living’s suite of business-critical applications including Yardi, Dayforce, WelcomeHome CRM, and MaintenanceCare CMMS. You will ensure seamless system operations, secure user access, data integrity, and smooth integrations that empower our teams across all communities. This role combines technical expertise, collaboration, and problem-solving to enhance efficiency and reliability across our technology platforms.

Responsibilities

  • Administer business applications including Yardi, Dayforce, WelcomeHome CRM, MaintenanceCare CMMS: user setup, role management, onboarding/offboarding, and access changes.
  • Monitor and troubleshoot automated workflows and integrations between systems.
  • Coordinate with external vendors for support, issue resolution, and system updates.
  • Collaborate with IT service providers for technical dependencies (e.g., SSO configuration).
  • Lead configuration updates and system expansion planning during acquisitions or new site onboarding.
  • Enable new modules or features that can be implemented without external professional services.
  • Ensure systems and processes adhere to SOX, PIPEDA, PHIPA (or other applicable provincial health information acts), OH&S, and other relevant compliance requirements for senior living care providers.
  • Maintain audit trails and documentation for system changes and access controls.
  • Design and manage integrations between business applications to streamline operations and data flow.
  • Identify opportunities for automation and process improvement.
  • Maintain system stability and ensure alignment with internal policies and external regulations.
  • Develop and maintain SOPs and system documentation.
  • Provide day-to-day user support and facilitate user training when needed.
  • Generate regular reports and dashboards for leadership on system usage, compliance status, and operational metrics.
  • Occasional travel to new sites or for project-related activities.

Qualifications & Experience

  • Bachelor’s degree in Computer Science, Information Systems, or related field.
  • 5+ years of experience in enterprise application administration, preferably in healthcare, senior living, property management, or a related industry.
  • Demonstrated experience administering ERP, HRIS, CRM, CMMS, or other business-critical enterprise applications.
  • Ability to quickly learn and adapt to new systems such as Yardi, Dayforce, WelcomeHome CRM, and MaintenanceCare CMMS.
  • Experience with user lifecycle management, role-based access control, and workflow automation.
  • Familiarity with SOX, PIPEDA, PHIPA, OH&S, and IT governance frameworks.
  • Experience with integration platforms or scripting tools (e.g., Power Automate, Python, PowerShell).
  • Experience with Azure is preferred.
  • Strong communication, problem-solving, and stakeholder engagement skills.
  • Ability to work cross-functionally with vendors, IT service providers, and internal teams.
