4 days a Week in Office
Pay Grade: 2 - $24.39 - $26.04 per hour

Position Summary
Operates a multi-line switchboard and performs reception duties while providing basic administrative support functions such as word processing, data entry, and building-related clerical tasks.
Responsibilities
- Reception Services: Operates the multi-line switchboard, directs calls, receives visitors, and responds to general in-person and telephone inquiries.
- Administrative Support: Performs general word processing and data entry, including typing correspondence and reports from rough drafts or general instructions.
- Records Management: Assembles files, assigns file numbers, and maintains relevant registers and filing systems.
- Mail & Logistics: Receives, records, and distributes incoming/outgoing mail, faxes, and courier documents; signs for receipt of packages and shipments.
- Building Operations: Performs general office functions such as booking and setting up meeting rooms and maintaining a stock of supplies for the work area.
- Equipment Maintenance: Operates office equipment (photocopiers, shredders, etc.) and performs minor maintenance such as loading paper, clearing jams, and changing toner.
- Issue Escalation: Refers complex problems or advanced equipment maintenance requirements to a supervisor.
- Client Assistance: Assists with client intake by obtaining information and completing required documentation; schedules and confirms client appointments.
- Financial Tasks: Receives and records cash transactions, issues receipts, and maintains a petty cash account.
- Timekeeping: Performs basic timekeeping functions, such as tracking hours worked and reviewing timesheets for accuracy.
- Office Presence: Physically present in the office for a minimum of 3 days per week to provide reception coverage.
Qualifications
Education, Training and Experience
- Education: Grade 12 graduation.
- Training: Completion of an Office Assistant Certificate.
- Experience: Recent, related experience of six months, or an equivalent combination of education and training.
Knowledge, Skills and Abilities
- Typing Speed: Ability to type at 50 wpm.
- Communication: Ability to communicate effectively both verbally and in writing.
- Office Proficiency: Knowledge of Business English and general office procedures.
- Organization: Ability to organize and prioritize daily tasks.
- Collaboration: Ability to work independently and cooperatively with others.
- Technical Skills: Ability to operate related office equipment.
- Physical Ability: Physical ability to carry out the duties of the position.
