Reporting to the Manager of Development, the Administrative Assistant is responsible for providing administrative support to the entirety of the Development Team, including tasks related to fundraising, volunteerism, and public education. This role supports the execution of campaigns, projects, and events and serves as a point of contact for the Development Team. The Administrative Assistant coordinates meetings, facilitates efficient and professional communication across departments and with supporters and supports with regular reporting. This role ensures the smooth functioning of the Development Team and upholds professionalism as a representative of the organization to the public.
Hours: Part-time - 20 hours/week with flexible work arrangements
Example: Monday - Thursday, 9:30 am - 3:00 pm (30 min unpaid lunch break)

Position Responsibilities
- Provide administrative support to the Development Team
- Manage shared calendars, schedule meetings, and coordinate appointments internally and with supporters (donors and volunteers)
- Prepare agendas, take detailed meeting minutes, and distribute follow-up action items
- Assist with the development, implementation, management, review, and storage of development policies and procedures as it relates to fundraising, volunteerism, and public education
- Provide administrative support for ongoing campaigns, projects, and events including creating spreadsheets, presentations and scheduling meetings
- Provide administrative support in accurate and efficient reporting
- Work alongside other Development Team members to coordinate logistics for events, tours, and meetings, including preparing rooms, organizing materials, and ensuring spaces are welcoming and ready for engagement
- Handle confidential information with discretion and professionalism.
- All other duties as outlined by program manager.
- BSCS is more than a workplace. It is a community where everyone helps and contributes to the whole, and there is an expectation that all employees will take part in events (during the work week and occasionally during weekends and evenings). This includes fundraising campaigns, running community meals, medicine picking etc.
Qualifications
- Related education such as Business Administration, Social Work, or Human Services is considered an asset
- 2-3 years of relevant work experience is considered an asset
- Strong organizational, prioritization, and time-management skills with the ability to prioritize tasks effectively
- Proficiency in computer skills, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other administrative and scheduling software
- Valid Class 5 Non GDL license and access to a reliable vehicle are considered assets
- Valid First Aid certificate or enrolled in a future course
- Police Check with the Vulnerable Sector completed within the past six months and kept up to date (every 3 years)
- Child and Youth Intervention Check completed within the past six months and kept up to date (every 3 years)
- Experience with and knowledge of Indigenous culture and ceremonies is considered an asset.

Boyle Street Community Services is a registered charity that serves approximately 12,000 adults, youth and families, with the mission of ending chronic homelessness in Edmonton. Boyle Street provides a variety of intervention and prevention services, grounded in harm reduction philosophy and harm reduction, which support our clients through crises and address the leading causes of homelessness.
