##Overview

As an integral member of the Accounts Receivable team, this position is responsible for the daily invoicing and collection of non-student receivables, as well as the long-term planning and administration of all non-student receivable processes. The role oversees the recruitment, training, motivation, scheduling, and performance management of one Work Study student and one casual part-time employee. The AR specialist also provides essential support for e-commerce activities and collaborates with various University departments on bank deposits, wireless terminal bookings, and payment transactions processed through websites and web forms. As a key contributor to the Accounts Receivable unit, the AR Specialist delivers exceptional customer service and works closely with the AR front line, other Financial Services teams, and departments across the University.

##Responsibilities

Invoicing and collection of receivables, including

  • Manage the invoicing, and collection of Receivables listings for Miscellaneous, Thunderwolves, Conference Services, Athletics, LUCAS, and including any new non-student listings
  • Deliver high quality, advanced customer service, providing accurate and detailed information for all individuals, organizations, and vendors
  • Ensure timely payment processing

Reporting and systems support, including

  • Assists in providing reporting, so that senior admin can make informed, evidenced-based decisions.
  • Understands, analyses, and effectively reviews data to ensure its relevance, and its proper context
  • Assisting the Assistant Manager, Accounts Receivable with software and e-commerce initiatives as well as general maintenance of payment systems
  • Prepare monthly reconciliation report for student and non-student receivables
  • Payment Management, Reconciliation & E-Commerce Oversight

HR Management

  • Hire, train, and motivate, one part time student employee, and potentially a part time permanent employee
  • Ensure compliance with human resources policies
  • Lead and align all AR initiatives, practices, and service elements with and equity, diversity and inclusion in mind

General Accounts Receivable

  • Oversee and process tuition waivers by verifying budget codes, registration eligibility, signing authority, and waiver amounts; coordinating with Human Resources when required; and entering approved waivers into the student system.
  • Maintain accurate records of waiver usage to ensure compliance with lifetime and annual benefit limits, and provide final Financial Services approval through the Laserfiche workflow.
  • Process and record refund vouchers accurately on student accounts up to $25,000 - Participate in office-wide collection call campaigns, and collection letter efforts - Prepare Year End Listings for non-student receivables
  • Regularly provide overflow support from walk-in, phone, and e-mail traffic
  • Understand basic elements of all roles in AR and provide necessary back-up when required
  • Process non-AR payment transactions, and departmental deposits as needed

##Qualifications

  • University Degree with background in business, accounting, information systems, or other relevant field.
  • Experience working in a University environment (preferred)
  • Exceptional Interpersonal Skills
  • Strong communication skills
  • Ability to resolve conflict
  • Advanced computer skills (proficiency with Microsoft Word, Excel, Entrinsik Informer, Ellucian-Colleague, and/or other ERP systems and reporting software)
  • Analytical/Research Skills
  • Ability to work independently, or as a member of a team
