Part-Time Social Work Programs Assistant Contract- Job Reference #202603-03C
DESCRIPTION:
The Social Work Programs Assistant will:
-
Ensures the School’s administrative functions run smoothly, responsively, and professionally, resulting in timely communication, accurate records, and consistent support for students, faculty, staff and external stakeholders.
-
Support the adjudication of Bachelor of Social Work (BSW) applications, including creating and maintaining main database throughout the application and adjudication process.
-
Guide prospective students on the process and steps to applying to the BSW and Master of Social Work (MSW) programs.
-
Facilitate workflow by anticipating and preparing for upcoming tasks and events
-
Liaise with, and advise SWSA, with respect to the School of Social Work and King’s University College processes
-
Gather information and compile data for reports as needed
-
Enable prospective and current BSW/ MSW students to navigate admissions, enrolment and program milestones with clarity and support, contributing to informed decision-making, reduced barriers, and successful academic progression.
-
Convey general information regarding admissions process to potential applicants and students who would like to apply to summer courses
-
Orient and instruct new faculty on use of university course management system, referring to outside support as appropriate
-
Proficient knowledge and access in Peoplesoft for running records (including batch) and queries needed for academic advising, progression checks, graduation, milestones, and reporting.

Maintain Laserfiche and spreadsheets
-
Effective coordination and delivery of School events and engagement activities
-
Administrative and organizational support to the Director, Faculty, Coordinator of Academics and Development, and SWSA in regards to events
-
Coordinate the operational aspects and details for non-practicum events i.e. recruitment events and student events, MSW capstone project
QUALIFICATIONS:
-
Minimum requirement of a College Diploma
-
At least 2 years of previous relevant experience.
-
Advanced administrative skills.
-
Excellent and professional communication skills, both written and verbal
-
Organizational and problem-solving skills
-
Proficient computer skills (e.g. Microsoft Office, university course management system, PeopleSoft).
-
Flexibility and the ablity to work independently
-
Ability to function effectively in a multi-stimuli and highly disruptive environment, where focus and the ability to work in a shared office environment is extremely important.
-
Experience with and knowledge of, content management systems and online messaging applications (e.g. email, MS Teams, etc.).
-
Ability to maintain high level of confidentiality.
-
Demonstrated initiative and diplomacy,
-
Strong attention to detail and accuracy,
-
The ability to multi-task, and prioritize effectively.
TYPE OF JOB:
Part-Time Contract (21 hours per week, working Tuesday to Thursday, 9:00am to 4:30pm in person, for 2 years)
JOB AVAILABILITY:
Vacant Role
EFFECTIVE DATE:
As soon as possible (2-year contract)
SALARY RANGE:
$29.54 - $38.15 per hour, dependent on experience
