Job Description
The Lease Administrator is responsible for managing the full lifecycle of commercial lease documentation, abstracting and maintaining accurate lease data, and ensuring compliance with Ontario’s Commercial Tenancies Act. They play a vital part in supporting property management, legal, and accounting teams to uphold lease obligations and support financial accuracy across a commercial portfolio.
Essential Duties and Responsibilities:
- Abstract and interpret commercial leases, amendments, renewals, terminations, and license agreements; enter and maintain key data in lease administration systems (e.g., Yardi, MRI).
- Track and manage critical dates, rent steps, renewal options, and termination clauses, ensuring timely communication with stakeholders.
- Ensure lease compliance with the Ontario Commercial Tenancies Act, collaborating with legal teams when required.
- Support rent collection processes, including calculating and reconciling rent, CAM (Common Area Maintenance), property tax recoveries, and HST as applicable.
- Coordinate lease execution processes, from initial review to legal finalization and system input.
- Respond to internal and external inquiries regarding lease terms, charges, and tenant obligations.
- Assist with tenant notices, estoppel certificates, and other legal documentation.
- Prepare reports and dashboards (e.g., lease expiry schedules, occupancy cost summaries, lease status updates).
- Partner with property managers, accountants, and asset managers to ensure data integrity and timely lease-related workflows.
- Support audit processes and provide documentation as needed for internal or external reviews.
Qualifications:
- Familiarity with the Commercial Tenancies Act (Ontario) and HST implications on commercial leasing.
- Strong attention to detail and organizational skills; ability to manage high volumes of lease data and deadlines.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office and lease administration/accounting software (Yardi, MRI, etc.).
- Ability to interpret legal documents and identify key financial and operational lease obligations.
Minimum Requirements:
- College diploma or university degree in business, real estate, or legal administration.
- 3–5 years of experience in lease administration within a commercial real estate or property management setting in Ontario.
Preferred Attributes:
- Experience working with legal counsel or lease abstraction services.
