As an Executive Administrative Assistant, you will provide high-level legal administrative support to the City Solicitor and General Counsel, Director (Law), and two Deputy Directors (Law). You will be the first point of contact for the City Solicitor's office and ensure the efficient operation of the Law, Legislative Services & Security Department as well as the Law business unit with minimal supervision in a fast-paced, multitasking environment. Primary duties include:

  • Manage calendars, schedule meetings and book boardrooms.
  • Coordinate communications (e-mail, mail, and phone), assist with corporate credit cards, and track the team's vacation.
  • Assist with semi-annual expense disclosure for General Manager and Director.
  • Open, maintain and close legal files.
  • Coordinate The City's external counsel invoice process, including liaising with external law firms, internal business units, and accounts payable.
  • Prepare quarterly reporting for Council related legal fees.
  • Coordinate Departmental and Business Unit communications, including monthly Townhall and Quarterly Lawyers Meeting presentations and assembling and editing the monthly Law newsletter.

Qualifications

  • A completed 2-year diploma, including courses in legal studies, and at least 4 years of experience in a legal environment is required.
  • Advanced proficiency with Microsoft Word, Outlook and PowerPoint, along with the ability to format large word documents, is required.
  • Preference will be given to applicants with the following experience:
    • Experience as a Legal Assistant or Paralegal.
    • Legal experience working in litigation, labour relations or employment law.
    • Experience with PeopleSoft Human Capital Management (HCM) and Financial & Supply Chain Management (FSCM), Microsoft Dynamics, SharePoint, LiveLink, and/or Microsoft Teams.
    • Knowledge of City policies, procedures, forms and documents.
  • Success in this position requires excellent organizational, interpersonal and communication skills, attention to detail, confidentiality, accuracy, flexibility, the ability to exercise independent judgment, and political sensitivity.

Compensation: Pay Grade 8 $39.00 - 52.14 per hour

Days of Work: This position typically works a 5 day

work week, with 1 day off in each 3 week cycle.

Hours of work: Standard 35 hour work week
