About the role

OVERVIEW

Reporting to the Vice President, Annual, Events & Operations the Events Coordinator will be an integral member of our team, responsible for assisting with the planning, coordinating and execution of the foundation's signature and community fundraising events. The role will also have accountability to the Manager, Events in support of the events program in addition to having oversight of their own portfolio of third-party, community events.

The ideal candidate is a self-starter who loves working collaboratively as part of a team and is a natural relationship builder. They pay attention to detail, have a creative streak and strong written and verbal communication skills and a commitment to the cause of community-based healthcare.

PRIMARY RESPONSIBILITIES

  • Support the Events team with administration, coordination and execution related to our signature and third-party events.

  • Work with Events team in meeting revenue and participant recruitment goals, and help manage outreach lists and coordinating follow-ups.

  • Help to prepare event budgets, monitor expenses, analysis and briefing/debriefing of assigned events.

  • Working with VP and Manager, take the lead in invoicing and follow up with sponsors and ticket purchasers for assigned events.

  • Assist with event logistics, including sourcing quotes from vendors and working with them to ensure smooth and professional execution.

  • Coordinate print needs for assigned events and help to design, produce and manage event collateral, such as invitations.

  • Help to develop critical paths/work schedules for each event and track over time.

  • Build out and update event platforms and websites.

  • Respond to inquiries from event participants, volunteers and other stakeholders.

  • Recruit, train and manage event volunteers where appropriate.

  • Help to deliver on post-event follow-up for participants, donors and in some cases sponsors, including updating information into Raisers' Edge as part of a positive donor journey for all involved with events, andcollecting photos and survey feedback.

  • Assist with preparation for committee meetings.

  • Solicit and track in-kind donations for events and organize auctions associated with our events.

  • Oversee third-party, community events and act as an ambassador for the foundation at these events.

  • Other duties as assigned.

EDUCATION

  • Undergraduate degree or college degree with a specialization in fundraising or events management a plus.

  • Knowledge of Raiser's Edge, Givergy, and/or A.K.A. Raisin software programs an asset.

QUALIFICATIONS

  • 1-2 years applicable work experience. - Excellent organizational skills and ability to effectively manage multiple priorities under tight timelines.

  • Highly professional, collaborative, creative, innovative and resourceful. This candidate has a sense of humor and a can-do attitude. They have a drive to succeed personally and to support team success.

  • Experience with event volunteers.

  • Experience in securing in-kind donations.

  • Demonstrated ability to work with others, including internal and external constituents, senior volunteers and donors, prospective event sponsors and event attendees.

  • Proficiency in Microsoft Office including Outlook, Word, Excel and PowerPoint.

  • Working knowledge of Adobe design software.

  • Knowledge of social media is an asset.

  • Flexibility is necessary as this position will be required to work occasional weekends and evenings.

Salary range: $54,000 - $67,000
